We are looking for a Contractor Services Co-Ordinator based in our Aberdeen office.

As a Contract Services Coordinator you will be expected to provide and deliver an excellent onboarding through to off boarding, customer care and support together with ongoing support throughout the duration of their contract with Fircroft.

The role of the Contractor Service Coordinator is to manage the Contractor Experience, deliver a high quality of customer service as well as ensuring rigorous adherence with all procedures related to their initial and ongoing assignment experience and the technical data duties linked to the service delivery.
In this role you will ensure service excellence and compliance in delivery of existing contracts, conducting a professional image of Fircroft at all times when dealing with contractors and clients, ensuring 100% compliance to Fircroft's contractual and legal commitments.

Job Duties:
* Facilitate the smooth running of the onboarding of all candidates/contractors including the completion of all required documentation per client requirements as well as the accurate recording and updating of the placement and all relevant information on the Fircroft system
* Ensure high levels of service are maintained for both the client and the contractor during the contractor set up stages and for the duration of the contract
* Perform initial 'Handholding' process with new contractors to ensure they are fully aware of Fircroft policies and the processes for the ongoing completion of timesheet and expenses
* Liaise directly with the Service Delivery Hub regarding specific contractor queries and to ensure efficient levels of service are provided, escalating to the Operations Manager if the service level agreements are not being adhered to
* Continually building a network of contacts in the contractor market and actively gaining knowledge of the business to ensure a full understanding of contractor requirements post commencement of their assignment
* Gain a good understanding of contractual terms and conditions and ensure service delivery of required processes throughout the relevant assignment including but not limited to the management of Purchase Orders and resolving payroll queries - this will require a good level of knowledge regarding the payroll timetables and procedures as well as a good understanding of as the timesheet and expenses processes
* Take ownership of all administration including but not limited to onboarding documentation, offer documents, contracts, starter packs, rate changes, purchase orders, queries and general correspondence regarding all other matters relating to contractor, ensuring that all documentation relating to the above is returned and recorded appropriately
* Take ownership of ad hoc reporting and other requests and deliver required output in a timely manner (ie: weekly/monthly reports/pay summaries)
* Where relevant assist Account Managers and Recruitment team with keeping teams aware of contractor movements, especially where contractors are actively looking for new assignments
* Work closely with the Service Delivery teams responsible for travel and mobilisation of contractors to ensure the services delivered are timely and of high quality as well as ensuring authorization has been received from the Client (ie: PO's)
* Work closely with the Operations Manager and the Service Delivery teams on all appropriate client/contractor issues to ensure accurate and speedy response
* Ensure all necessary Quality Assurance activities for contractors are being completed and renewed appropriately (ie reference checks, qualification verifications etc)
* Ensure the completeness, quality and accuracy of contractor data within the Fircroft's systems
Gain an understanding of the full service and capability, and specific market offerings of the Fircroft Group to be in a position to advise Contractors as appropriate
* Knowledge share amongst the global Fircroft community and with other company functions where necessary to create an excellent working environment and a high quality of Service Delivery
* Work within a team of Contract Service Co-Ordinators to support the service delivery across the region/globally

Education / Key Attributes:
* 2-5 years' administrative / office experience, including a demonstrable track record of successfully building strong relationships with their specific client groups
* Experience of working in a Customer Service environment
* Experience of working within a team environment
* Understanding of the technical/ engineering recruitment market desirable but not essential
* Exposure to global/ multinational clients
* Highly organised and able to coordinate multiple tasks and competing deadlines
* Comfortable to work under pressure and to tight deadlines, including overcoming disappointments or opposition, and remain persistent in efforts to fulfil responsibility
* Team Player - working to a 'shared objective' team purpose amongst their Service Delivery colleagues
* Aptitude to engage at all levels to discuss Fircroft capabilities and Market Offerings
* Results and output driven
* Pro-active, responsible and self motivated
* Ability to understand the Fircroft market offerings
