Overhaul Administrator

The Role:
To support all the planning and preparations to the various mini, midi and major overhauls in order to meet business requirements and the pre-defined KPI's for each event.

PRINCIPAL ACCOUNTABILITIES

* Work within iCura Planning, setup datasets and performing various tasks as required
* Work within the overhaul team, updating and collating information for weekly progress reports
* Work within SAP to update and obtain required information
* Setup worklists and worklist management
* Register change of schemes of Inspections, review and communicate
* Document control of all iCura job packs and updating distribution matrix, ensuring the correct and most current processes and specifications are adhered too
* Attend team and meetings( as instructed ) to carry out the minute taking and to ensure that they are circulated to the relevant personnel within 24hrs, carry out follow up emails to ensure actions have been completed
* Update and distribute owners actions, pursue the required information for updating
* Creation of workflow charts to improve the symbolic representation of a process
* Collate information and distribute to the overhaul preparation team as required of all documentation received into the overhaul team
* Any other duties directed by the overhaul team
* Create control sheets
* Distribute emergent work job packs during the turnaround
* Control the Milestone Doc / Preps Plan for the delivery team in the co-ordination and completion of Punch List items
* Use a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Publisher, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases
* Development of office systems as required
* Liaise with colleagues and staff in other departments
* Organising and storing paperwork, documents and computer based information
* Photocopying and printing various documents
* Responsible for the physical management and tracking of policies, revisions, change documentation, and signature logs in accordance with Company policy
* Preparation of documentation as required for meetings

SPECIAL FEATURES

* The overhaul administrator will be working on several overhauls at the same time, at different stages. A good overview of status, progress & the ability to manage & resolve issues is required.
* The execution phase of an overhaul is a highly intensive period of work often necessitating working hours in excess of the normal contractual arrangements and the overhaul administrator needs to be able to adopt a flexible approach during this time as and when required.
* The role requires interaction with a wide range of internal & external personnel at varying levels in the organisation (contractors, operations, SHE, projects etc.) & the role holder must have the ability to effectively interact and influence these groups.

Essential Skills / Qualifications:
* The job holder would normally be an experienced administrator, with 5-10 years.
* Turnaround preparation and execution experience
* Evidence of Microsoft suite - Excel, Word, Publisher, PowerPoint software usage
* Documented tracking of work pack development
* Organisation of meetings and minute taking
* Competent in document management systems and processes
* Work to a detailed preparation plan
* Knowledge, understanding and commitment of completing documentation on time
* To be able to multitask and work on own initiative
* Working within a team with good communication skills and approachable whilst liaising with client and team
* High level of self-motivation
* Experience performing effectively in a multi-disciplinary, multi-cultural environment
* The ability to analyse Excel data
* To be able to control, issue, receipt and distribution of all internal documentation both in hard copy and electronically
