The Role:
The Proposals Coordinator is a marketing professional who, as part of a team, assists the Bid Manager to produce top quality marketing materials and competitive tendering documentation (including EOI's, RFI's and ITT's) that result in winning new business.
The Proposal Coordinator will achieve this, in part, through the ongoing maintenance of proposal department portals, updating of boilerplate information as required and the ability to deduce specific tender requirements through client documentation.
Key responsibilities of the role will include, but are not limited to:
* liaising with tendering team members (engineers, estimators, other functions) to obtain relevant tender input/information
* compilation of Company responses in line with both Company and client requirements
* ensuring Company style guide (where appropriate) and procedures are adhered to
* ensuring all presentation and grammatical aspects are of highest standard
* assisting in maintenance and registering of new prospects in CRM
* establishing of tender portals/folders, ensuring all relevant team members have access and folders are correctly populated
* convening and attendance of kick-off and bid meetings as required throughout the tender cycle
* ensuring all tender team members receive all relevant internal and external communications
* preparation and submittal of correspondence (acknowledgments, clarifications etc) to client as needed
* tracking of all tender-related correspondence before, during and after submission
* maintenance of various department publications

Desirable Skills / Qualifications:
* Two years' experience in preparing tenders
* Strong computer skills with competency in Microsoft Office, Adobe products and Microsoft SharePoint
* Use of SharePoint Portals Management and production of reports and other documents
* Understanding of style and brand guides
* Ability to demonstrate initiative, work independently and effectively under pressure
* Knowledge/experience in marine projects would be an advantage.
* Ability to work to tight deadlines
* A high level of self-motivation
