The Role:
Main responsibilities:
* Provide administration assistance to the project's team
* Manage and maintain shared mailbox
* Organise regular meeting schedules, including preparation of documentation, room bookings, catering and provide assistance in capturing notes of meeting
* Assist in event coordination of functions for department, team building and other activities as required
* Manage onboarding process for new employees, contractors and agency hires
* Assist with coordination of office seating plans
* Maintain organisational charts, I-Way and SharePoint homepages, GLAM lists, team leave and out of office calendar, Floor Warden/First Aider Register
* Manage ARIBA requirements for department
* Preparation of CTREX reports
* Book international and domestic travel, accommodation and visas for departments team members as per ABU Travel Policy
* Performs document processing/formatting, eB DMS filing, ensuring all documents are prepared in compliance with company's policies and procedures
* Coordinate the flow of all documents for approval and signature
* Support other Major Capital Projects Administration Assistant positions while on leave
* Actively participate in Operational Excellence team meetings and company's Injury and Incident Free (IIF) culture and safety initiatives
* Initiate presentations and/or community engagement activities and participate in Behavioral Based Safety targets
* Commitment to health, environment and safety and company's best practices

The right candidate is able to:
* Coordinate and perform a range of staff and/or operational support activities for the unit
* Serve as a liaison with other Program and project teams in the resolution of day-to-day administrative and operational problems
* Provide administrative/secretarial support for the program such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries
* Schedule and coordinate meetings, events, interviews, appointments, and/or other similar activities for supervisors, which may include coordinating travel and lodging arrangements
* Prepare or assist with the preparation of scheduled and/or ad hoc statistical and narrative reports
* Perform basic information gathering and analysis and/or forecasting, as specifically directed
* Assist program management and staff in problem solving, project planning, and development and execution of stated goals and objectives
* Establish, maintain, and update files, databases, records, and/or other documents
* Develop and maintain data, and perform routine analyses and calculations in the processing of data for recurring internal reports
