The Role:
An opportunity has become available for an Administrative Assistant to start immediately on a 6 month contract, based in Perth for a market leader in the Oil & Gas industry. The role requires the delivery of a consistently high standard of work against tight deadlines, assisting the WA Oil Team members as required in all facets of the position.

Key Job Responsibilities:

* Provide administrative support to Maintenance & Reliability managers, including calendar management
* Manage own CTREX and AMEX Reporting
* Liaise with stakeholders as required to book international & domestic travel for department team members
* Manage ARIBA requirements for department such as raising service requests, request follow up and amendment, invoice coding, maintenance of stock, procuring services and supplies
* Assist in coordination of functions for department, team building events and other activities
* Coordinate meetings by preparing documentation, room bookings, catering and provide assistance in capturing actions/notes of meeting
* Assist with coordinating office seating plans within department and provide support to facilitate personnel moves
* Perform document processing/formatting, DMS filing, ensuring all documents are prepared in compliance with company's policies and procedures
* Coordinate the flow of all documents for approval / signature, including meeting notes & briefing materials
* Manage security groups in IAM Portal.
* Handle general enquiries and maintenance of incoming and outgoing correspondence
* Manage induction process for new employees and contractors including office logistics, access, equipment and building induction
* Maintain register for floor warden/first aid and safety inductions for all visitors/new starters

Essential Skills / Qualifications:

* Proficient in MS Office Suite
* Strong in general administrative duties (PA, Doc Management System, Document Formatting, Travel Arrangement)
* Must be able to confidently interact with site personnel and Perth based engineering teams
* Previous site experience desirable


Desirable Skills / Qualifications:

* High attention to detail and confidentiality
* Excellent written and verbal communication skills
* Able to work autonomously or in a team environment and support the additional team members
* Adaptable and flexible to last minute changes/requests
