The Role:
This position is responsible for providing administration support to the Vice President Commercial,
including back-up support for the Commercial Department and other departments as
needed. The position is a supporting role for the Vice President Commercial and includes all
relevant administrative tasks including preparation and distribution of internal and
external correspondence, managing schedules and diaries, travel bookings, Special
Recognition administration, updating PowerPoint presentations and documents; -
coordinating meetings and presentations; and supporting the administration of
commercial contracts.

All administration tasks in supporting the VP Commercial

* Coordination and management of VP Commercial's diary and schedule
* Coordination of internal and external meetings with stakeholders
* Supporting preparation of documents for presentation and meetings eg. PowerPoint presentations
* Co-ordinate and support the administration of commercial contracts
* Preparation and distribution of correspondence eg. emails, letters, reports
* managing schedules and diaries
* updating PowerPoint presentations and other documents eg. reports
* Special Recognition administration
* Coordinating meetings and presentations, including organising catering
* Provide support for members of the Commercial Team, when required
* Organise international and domestic travel ensuring all preferred airlines and hotels are utilised in accordance with our travel policy
* Be available for providing administrative assistance to other Departments as required
* Ensure all correspondence is dealt with quickly and efficiently
* Coordinate all Commercial document control/correspondence register/DRM and management to assure that compliance with all COPA requirements
* Extensive experience in a similar administration support role

* Excellent skills in Microsoft Office Software, including Word, Excel and PowerPoint
* Strong ability to manage non-routine administration tasks and is flexible and adaptable
* Exposure to document control policies and procedures
* Familiar with expense account procedures
* Excellent communication skills

Exposure to SAP Business Systems preferred
