The Role:
On behalf of our value filled employer we are seeking a passionate all rounder Administration professional who not encompasses a can do attitude but an adaptable systems and process nature which you have ideally established from working within a system focussed organisation. Your proven experience in working within the Supply Chain will see you hit the ground running in predominately providing assistance to the Contract & Procurement Specialists as well as administering the online contracts approval system and acting as the focal point for document records management. This 12 month contract with an ideal start yet to be confirmed, in mid to end July, will include the following responsibilities but will not be limited to:

  • Administer online contracts approval system and provide administration support to the C&P specialist teams
  • Archive, create and ensure contract folders and documents are completed and routed for signature.
  • Assist in the provision of finalised version of contracts with variations inclusive of printing, binding, receipting and filing.
  • Assist with data entry into gCMS, and generate monthly/ quarterly reports for Supply Chain and end users.
  • Coordinate with foreign offices in relation to publication of supply chain advertisements and log, review, issue and ensure vendor responses are directed to the appropriate people.
  • SAP orientated duties inclusive of running SAP reports, carrying out certain SAP transactions, set up SAP Vendor Master, ABN check, perform export compliance review and assist with SAP outline agreement maintenance.
  • Provide systems and word processing support regarding development of request for quotations, contracts etc.
  • Assist with audit preparation and reconciliation of contracts and files, both electronic and white paper.
  • Coordinate approval of Surplus Disposal / Sale Forms.
  • Maintain and clean up Supply Chain SharePoint site, S Drive, Livelink and related documents as required.
  • Act as DRM focal point for Perth Supply Chain and ensure DRM compliance.
  • Organize and coordinate meetings - including reservation of meeting rooms, set up of refreshments and catering as required.
  • Coordinate the Supply Chain Boardwalk and monitor and respond to Vendor email account.

Essential Skills / Qualifications:

  • Proven professional experience within Supply Chain, preferrably in the Oil and Gas Industry.
  • Highly desirable experience using SAP would be a preference.
  • Desired experience of booking travel, flights and accommodation would be an advantage.
  • Advanced experience with Microsoft Office Suite.
  • Previous experience in working autonomously, under pressure and producing high quality of work within timeframes.
  • Process orientated experience and the ability to use initiative in identifying and following-up potential improvement areas.
