The Role:
Location: Ingleside, TX
Contract: 12 months

The KOS Administrative Assistant will work closely with Site Project Leadership Team (SLT) and Houston JSM and Anchor project administrative assistants to ensure Company and GOMBU MCP Policies and processes are followed.

Education: High School degree/GED required

Responsibilities:
* Able to provide support on reporting and other project services areas.
* Onboarding/Offboarding: Personnel Change Administration (PCA), Welcome Letter and welcome packet, processes up-dates
* Coordination of SLT meetings, including governance quarterly meetings with Houston Management team
* Anticipate, prepare, organize, and summarize various reports for SLT
* Arrange meetings with internal and/or external customers including conference room necessary equipment/material, catering, and invitation to others as required
* Organize logistics, including coordination with hotel management of schedule, speaker presentations, registration and hotel/AV services Understanding of 3rd party service providers (hotels, restaurants, etc) contracts and meeting setup, AV and IT setup, and possibly client booking programs
* Supports stakeholder and communication activities, access to buildings with Houston Team, Subcontractors and Partners
* Coordinate Office Space, Update Floor Plans and coordinates moves
* Manpower Baseline / Staffing plan Administration, Update Roster, Org Charts Distribution Lists and GLAM
* Point of contact for monthly roster maintenance - review reports and make adjustments of mobilization/demobilization based on manpower updates from Project Controls
* PCARD management and CTREX skills for expense reports
* HES support, IIF Onboarding coordinator
* Interacts professionally and effectively with the team
* Properly handles sensitive and confidential material
* Manage reproduction requests through 3rd party vendors

Essential Skills / Qualifications:
Required Qualifications:
* High School Diploma or equivalent
* A minimum of 5 years of Administrative Assistant experience within an Oil/Gas or Construction environment
* Strong experience managing calendar schedules, meetings, domestic travel coordination, etc.
* Able to interact successfully with other administrative staff
* Able to interact successfully with a wide range of personnel
* Strong communication skills, both written and oral
* Strong organization skills, able to manage multiple priorities
* Knowledge of local resources
* Advanced experience Outlook and Word
* Intermediate experience Excel, SharePoint, MS Teams and OneNote
* Candidates local to Ingleside, TX area required.
