The Role:
Washington, DC

Purpose:
Provides general receptionist and office services support for the company, e.g. reception desk, mail services, and general office services.

Detailed Responsibility:
* Greet visitors, direct them to proper location and ensure sign in and out of visitor log
* Add visitors to security list, Issue and collect visitor badge/access card
* Make tea/coffee/espresso for visitors
* Keep an up to date calendar of meetings and visitors attending
* Handling/Routing of all incoming phone calls
* Log incoming DHL/ FedEx/courier packages, etc. into an excel spreadsheet daily
* Courier Coordination
* Coordinate log & track building maintenance calls regarding complaints and service
* Maintain conference rooms / Prepare them for meetings set out waters ect.
* Pick-up, sorting and delivery of incoming/outgoing and interoffice mail
* Assist with office maintenance
o Coffee machines, dishwashers, ice machines
o Copiers
 Toner, working condition, meter read
* Stocking counter tops in kitchens:
o Empty dishwashers (notice type of flatware and return to proper location)
o Coffee in drawers
o Milk in refrigerator
o Stocking of Plastic Ware (knives, spoons, forks)
o Stocking of Cups, all sizes
o Stocking of Sugars/creamers/stir sticks
o Stocking of Tea Supply
o Turn on the machines in the morning
* Weekly review of office needs
o Light bulbs, appliance repairs, carpet placement
o Coordinate with building for repairs and follow-up status
o Weekly check list to Courtney of supplies needed for Kitchen/ Storage room
* Cleaning of kitchens :
o Keep cabinets/refrigerators/etc. clear of thermos, boxes & debris.
* Other duties as assigned by manager
* Could potentially assist booking travel for executives
Main Interfaces:
Interact with all Company Personnel within the organization and outside vendors

Required competencies:
 Ability to read, write, speak and understand English well
 One year of receptionist experience and/or training
 Ability to operate switchboard telephone system
 Well developed interpersonal and communication skills
 Knowledge of computer systems Microsoft Word and Excel
 Working knowledge of mail processes such as postage machine, Federal Express and UPS
 Good planning and organizational skills
 Experience using Concur would be ideal
