The Role:
Reporting to the Information Governance Lead, this individual will be required to work closely with Engineering & Information Management Subject Matter Experts to support Liquids Operations Engineering in the development, implementation, management and continuous improvement of processes and tools associated with engineering operations information / document management.
Responsibilities
* Assist with the development, documentation and rollout of Controlled Document Library (CDL) program for Liquids (SharePoint system developed to generate new and/or revise existing controlled documents);
* Govern and facilitate the CDL, including the following:
* Acting as Document Change Coordinator for Liquids, assist and support system users through the document change management process;
* Develop and deliver system user training;
* Follow up on issues raised by users and facilitate with the system owner/support team;
* Initiate and coordinate document implementation and change management activities, e.g. change notifications in SAP, assignment of document review/approval workflows;
* Assist with identifying Stakeholders impacted by document revisions;
* Perform quality checks through each stage in the change process, including correct usage of document templates and formatting;
* Generate reports and facilitate monthly meetings with multidisciplinary stakeholders to communicate status, escalate issues and identify threats to schedule;
* Assess controlled document content including elements, hierarchy, and requirements (business and regulatory) for improvement opportunities; document and socialize recommendations.
* Assist with development and maintenance of a system to facilitate user access to Liquids critical operational facility information / documentation using MS SharePoint;
* Assist with development and maintenance of Information Management processes and procedures;
* Provide support to Information Governance Lead in requirements gathering, analysis, process mapping, and continuous improvement activities; such as document turnover and other information management processes;
* Other duties as required.
Qualifications and Education/Experience
Qualifications
* Ability to manage and track small projects from concept to completion;
* Proven computer skills with business applications (MS Office, Visio; MS Project);
* Superior MS SharePoint and Excel skills;
* Excellent interpersonal and communication skills;
* Proven analytical and critical thinking skills;
* Strong technical and business skills as well proven experience with information management principles/processes;
* Proven team player with the ability to work effectively in cross-functional teams and to develop and maintain collaborative working relationships;
* Demonstrated ability to initiate change and help others adapt to a continuously changing environment.
* Knowledge, training and implementation of FileNet P8 is an asset;
Education/Experience
* Technical diploma or University degree with relevant experience in business administration, information and/or records management or a combination of work experience and training;
* Experience with system design and configuration in MS SharePoint is required;
* 2-4 years of experience in a business analyst or project management role is required;
* 2-4 years of experience as a Records Manager, or Document Controller in an engineering or construction environment would be preferred;
* Experience in developing and delivering training material is a considerable asset
