The Role:
Our client's Contracts & Procurement team is looking for a Contract Assistant to provide integral support to their busy and established team, in order to meet team and business requirements. They are essentially seeking an attention to detail orientated individual to ensure all responsibilities' are conducted in accordance with the company's embedded procedures and policies. As the successful candidate your responsibilities will include but not be limited to:

  • Responsible for Purchase Requisitions, Service Entries & Accruals in relation to Requisition to Pay for supply base.
  • Ensure contract documents are accurately tracked, reported and compliant with records management procedures.
  • Work alongside Governance and Risk Management to ensure streamlined document management system structures are in place to store and manage the documents.
  • Manage the CP office store room, ensuring the physical files are recorded , archived and easily accessible .
  • Ensure all CP staff are set up accurately and time write is completed for the month.
  • Act as the JV Secretary to organise JV meetings, ensure meeting minutes are accurately recorded.
  • As required, preparation of high quality documents, letters, presentation material, files of information and handling of confidential information.
  • Coordinate the sign off for Contracts, Variations internally and externally.
  • Arrange visitor access inclusive of local logistics, meetings, schedule, rooms and general smooth running for any visitors or guests including coordination of presentation of slides.
  • Coordinating Induction, On boarding and Off boarding arrangements for new staff.
  • Making arrangements for all CP webcasts , CP meeting agendas, weekly CP team meetings.
  • Maintaining and managing all contract holder & contract lists.

Essential Skills / Qualifications:

  • At least 3 to 5 years experience in working within a Contracts and Procurement team
  • Mandatory experience in using CMS (Contracts Management System).
  • Desirable experience with Timewrite.
