The Role:
The position will be a 'shared resource', between several departments, predominantly Operations and Maintenance, reporting to the Operations and Resource manager. Periodically, they will provide sickness and holiday relief to other departments located in the office, as well as being direct relief for the Onshore Operations Coordinator

For Preparation for Operations (Pre-Ops):
* Direct support for the various 'Requisition to Pay' (R2P) processes utilised by the various departments, utilising the SAP platform. These will include, but not limited to, management and input of the various work flows for the following processes:
o Time sheet recording and administration
o Cost Time Resource estimates (CTR's)
o Purchase Orders (PO's)
o Service Entries (SE's)
o Invoicing handling from various contracts related to Pre-Operations, Operations & Maintenance, Hook Up and Commissioning activities
* High level of competence in SAP, to 'Super-User' level (KEY competence)
* Build and maintain close collaboration and communication with Company's Operations & Maintenance Managers, Onshore Ops and Maintenance Engineers, and Offshore personnel seconded into the office.
* Close liaison with the Onshore Operations Coordinator (OOC), to assess priorities and deliverables. Act as sickness and holiday cover for the OOC
* Support the various Statoil Document Control Systems (including ARIS).
* Support all aspects of onshore operations to ensure that effective, efficient and timely communication is maintained, including being a focal point for the organisation and facilitation of key weekly meetings.
* Contribute to the development of best practices in planning, operations, maintenance and logistics in a facilitation role (including inputs into LEAN processes)

* Support the Company's 'Training and Competence Coordinator' and the various T&C systems by;
o Adopting the role of Super-User for the Company's Training and Competence system.
o Supporting the various logistical requirements for training and competence issues (e.g. course booking and associated travel and accommodation where required)
o Supporting the management of the Company's Training and Competence system, ensuring that relevant records are maintained for client personnel.

Additional duties:
* Ownership of the various meetings that take place in the Ops facilities (including the logistics of room and facilities and resource management)
* Key facilitator of key operational meetings. Including pre-publication of agreed agendas to attendees, and that any required preparatory works are communicated.
* Ensuring that all Minutes of Meetings are gathered efficiently and accurately. That 'action' lists are maintained, communicated and followed up on.
* Administration and, where required, audit of submitted time sheets and invoices from third party contractors, flagging anomalies to the relevant parties and feeding back to that 3rd party
* Maintain the Onshore support team's IT infrastructure.
* Organisation or team off-site meetings, workshops and team building events
* Organisation and meeting charts management
* SAP:
* SAP Access Registration
* IT equipment ordering
* Access Badge administration
* MS Packages
* Proficient in the use of Word, Excel, Power-point, Outlook and Teams on 365 platform

Duties and Responsibilities during Operations phase
* Become a 'focal point of knowledge' or 'system expert' for the various IT tools required in the day to day running of operations and maintenance (esp. SAP R2P processes).
* In addition to duties already described in the 'Pre-Ops' phase, they will:
* Assist the onshore operations team in maximising administrative efficiency, with a view to minimising 'waste' (time, money, resources), with a view to maximising the amount of the various administrative functions that can be completed ONSHORE, therefore allowing the various offshore personnel to maximise 'time on tools'.
* Update operations and work order schedules
* Support the onshore Collaborative Environment, where they will facilitate coordinating meetings for relevant collaborative tasks

Experience, qualifications and abilities
The experience, qualifications and abilities required for this position are as follows:
o A significant knowledge of IT tools used by the Company (esp. SAP) - to the point of being able to coach and train others
o Extensive operational experience with at least 3-5 years direct exposure to the Operational Administration role function within the UKCS (preferably with exposure to offshore operations, either directly, or in a key support function).
o A working knowledge of Document Control work flows within a corporate frame work. Experience of working within a large-scale Project would be desirable.
o High interpersonal, communication, management and organisational skills
o High bias with regard to HSE, ethics and the key 'client values'.
o Possess the ability to handle responsibility and occasional high work-loads.
