SERVICE DESCRIPTION: Onshore Document Control Services

SERVICES to be performed in Milan, Italy.
 Tentative SERVICES start date: ASAP.
 International travel may be required for SERVICE performance up to 10% of SERVICE time.
 SERVICES schedule: residential full-time 5/40.

TASKS TO BE PERFORMED
For the performance of the SERVICES, CONTRACTOR shall at a minimum:
 Ensure effective application of the Project Document Control processes, procedures, standards and tools.
 Follow procedures and work processes that adhere to COMPANY and Project standards
 Interface with Contractor Document Control team and assure delivery of project documentation that meets the Project standards.
 Support activities associated with the information handover to Operations (or other specified post project recipients).
 Utilize and contribute to the Project lessons learned in accordance with COMPANY best practices.
 Deliver efficient, effective and secure control of project information that includes document capture, quality assessment, rejection as applicable, coding, updating, review routing and distribution.
 Be responsible for the integrity and completeness of the Project information in the Electronic Document Management System (OpenText Livelink).
 Respond to the Project team information and document queries and status requests.
 Provide reports and reache out to the parties responsible to deliver documents to meet the project requirements.
 Ensure documentation and attribute compliance with the Project Information Delievery Requirements specification, specific operations business needs and project schedule.
 Build a strong working relationship with the internal project discipline/department team members as well as contractor document controllers.
 Assure integrity and accuracy of the COMPANY and Contractor Master Document Registers.
 Be accountable for the maintenance of the Document Distribution Matrix(s).
 Perform front-line functional support for Livelink questions and one-on-one Livelink user instruction as required.
 Interface with the Milan Office Document Management Group Manager, Sr Document Controllers, New Prodom Administrator and other Document Managemet team members on New Prodom issues rasied by the project team members.

DELIVERABLES
 Daily, weekly and monthly Progress Reports,
 Final Report.

TECHNICAL REQUIREMENTS
 College degree in related discipline with minimum five (5) years of experience in Document Control
 Relevant professional experience gained from at least 2 different job roles related to engineering and/or supplier document control on projects or business assets, (ideally operator based with full lifecycle experience).
 Experience working with large Contractor organizations and international project team, and performing effectively in a multi-disciplinary and multi-cultural environment.
 Solid experience in coaching and training.
 Experience working with: Electronic Document Management Systems, MS Office applications (Outlook, Word, Excel, Power Point), Adobe Acrobat and Scanning Software.
 Strong commitment to Health Safety Security and Environment (HSSE).
 Professional certification in document and/or records management highly recommended by COMPANY.
 Fluent oral and written knowledge of English and Italian. Basic Portuegese is a plus.
