The Role:
PURPOSE
This job description details the requirements for the role of Administrator. The position reports to the
Business Management Systems Co-ordinator.

PRIMARY PURPOSE OF ROLE
The Administrator is responsible for providing administrative services to the Plant Manager, E&M and
Operations personnel as required.

MAJOR DUTIES
Provide a general administrative service to the Plant Manager and site personnel to a consistently high standard. To include managing their diaries and appointments, photocopying, faxing, and scanning of documents, data inputting, petty cash, collating and submitting expenses and timesheets, typing and any other duties in line with business need.

Manage the reception service maintaining a high standard when answering telephone calls and dealing with visitors. Ensure a courteous and prompt approach is achieved and seek to receive good feedback from customers. Ensure high standards of housekeeping throughout the "front office" area and stationery cupboard.

In conjunction with other members of staff make timely and effective travel arrangements as requested ensuring value for money is obtained.
Manage the mail handling system to ensure post/faxes are dealt with promptly and filed appropriately. Manage office services ensuring cost effective procurement of courier, stationery, photocopying, and
catering services is achieved in a timely manner.

Produce and issue all TGPP Weekly Highlights and Monthly Reports and updates and any other ad-hoc reports in a timely manner.

Reviewing and updating procedures according to plant changes or ISO/Line Manager recommendations and making relevant versions available on Alchemy.

Filing and archiving procedures and updating the revisions.

Monitoring and updating electronic drawings, issuing updated drawings to the controlled copy recipients via transmittal.

Maintain hard copy, current and superseded documentation in the document control centre delivering outstanding service and results in line with and exceeding company business requirements.

Support TGPP personnel in accessing information and data from the document control and archive using the support of electronic databases. Update the electronic databases used when required.

Control the on-site archive storage area ensuring that all information is entered onto the electronic database, including designated retention dates. Control and organisation of all site documentation storage and storage areas.
Ensure documentation is destroyed when it has passed its retention storage life in a safe and timely manner. Management of Plant & Document change requests through the control of Plant Change Request forms,
modifying and logging onto the Q4 system where necessary.


Control the plant modification system including interrogation and cleansing of data and production of accurate and timely management information, ensuring all modification data is transferred to the existing plant files.

Control of the Drawing Change Request (DCR) system, ensuring all drawings are modified, by priority, and all required review/approval signatures are obtained.

Continual document control support for project work on an as and when basis, liaising with engineers to determine how documents will be reviewed.

Photocopying, scanning and document collation as and when required. Maintaining the electronic administration filing system.
To portray the role of Plant Administrator in a positive and professional manner.
