The Role:

We are seeking an enthusiastic Admin Assistant to join a vibrant team in Kewdale.

  • Coordination and administration of Field Service jobs including scheduling the technicians for the job, booking flights and assisting with any other issues/queries that may arise.
  • Complete and update cost spreadsheets for labour and equipment for each Field Service job in order to invoice at the end of the month.
  • Responsible for completing all field Service employees expense claims and processing through my travel in an efficient manner to ensure timely reimbursement and in compliance with Cameron procedures.
  • Enter Product Competencies updates into the Competencies on 'Schedule Anywhere' when receive back from Field Service technicians.
  • Liaise with the Training Manager to ensure Competencies are accurate and Field Service technicians are aware of their requirements.
  • Compile relevant documentation required for Shutdowns and Tenders as required
  • Update 'Schedule Anywhere' with Leave Applications for hourly employees
  • Receive weekly timesheets from Field Services employees and enter into SAP after verification of order number from the Field Services Manager
  • Collect and verify Field Service monthly timesheets are accurate and pass to payroll for processing.
  • Organise medicals as required for the Field Services team, ensuring all technicians are up to date at all times
  • Point of contact for Field Service Technicians in the Field Service Managers absence, assisting with any queries the technicians may have.
  • Work in conjunction with the Training Manager & Divisional managers in Training requests.
  • Update & maintain training records via Schedule Anywhere and individual personnel training

Requirements:

  • Good Computer Literacy and keyboard skills and familiarity with the use of word processing, SAP and other spreadsheet packages
  • Good written and verbal communication skills
  • Training in telephone Techniques
  • A practical working knowledge of office procedures
  • SAP experience
