The Role:
Job function/Scope:
Responsible for collating data and raising PO's and Call-offs. Charged with collating weekly and monthly timesheets and maintaining holiday planner; updating operational registers. Charged with minuting meetings, answering telephone enquiries, ordering items for the base and PPE. Ensuring that the base skills & competency matrices are maintained and ensuring both service delivery and team targets are met in accordance with customer or company requirements.

Roles & Responsibilities:
1. Prepare all Purchase Requisitions, Purchase Orders (POs) and Contract call-offs for allocated site(s)
2. Ensure POs are goods received on AX on day of delivery
3. Ensure AX queue is cleared every 1-2 days
4. Collect, scan and input into AX all employee & subcontracted labor timesheets by CoB each Monday for the prior week (or next working day for monthly based employee timesheets)
5. Maintain equipment subcontractor tracking sheet, ensuring all delivery notes are recorded no later than 2 days after delivery
6. Issue draft PO to monthly equipment and labor subcontractor on a weekly basis
7. Resolve any queries arising from draft POs
8. Issue final PO to monthly equipment and labor subcontractors no later than 1 week after month end
9. Management of Petty Cash ensuring all transactions are recorded and cash in hand balances with statement
10. Prepare monthly and ad-hoc berth access passes
11. Answer telephone and deal with enquiries
12. Manage general office consumables needs and upkeep
13. Prepare customer quotes as and when instructed
14. Request supplier quote as and when instructed
15. File all base documentation

Safety Performance:
1. Always Ensure safe-working practices.
2. Participate in Safety meeting where necessary and take minutes.
3. Empowered to "stop the job" if an action is considered unsafe and report to line supervisor.
Work Instructions / Procedures:
1. Comply with all relevant company work instructions and procedures for each job function. Suggest any improvements to improve service delivery and amend work instructions.

7. Qualifications and Experience
1. Microsoft Office experience essential
2. Familiar with working in a busy office environment
3. Experience in dealing with competing demands
