The Role:
Exciting new opportunity for a Logistics Service Administrator. They will assist the project logistics group in the Joint Venture Project Management Office (JPMO), for the preparation of transport & Logistics (T&L) cost & shipping schedule estimation, during Early Contractor Engagement (ECE) phase, and intensive project execution during the Engineering, Procurement & Construction (EPC) Contract phase.

MAJOR DUTIES:

The Logistics Service Administrator duties will include, but will not be limited to, the following:

1. Assist the Project Logistics Manager and the Logistics Service staff, in the following logistics work scope:

(1) Handling confidential documents and data in secure manner
(2) Making copies, issuing telefaxes, scanning of documents
(3) Destroying any security and/or Export Controlled related documents
(4) Proper filing of the logistics related documents in accordance with the code requirements and Project procedures
(5) Arranging of the meeting rooms including for company visitors
(6) Preparing of the hand-out/'Pre-Read' documents for all meetings
(7) Receiving the phone calls for Project procurement team and report to the required staff members
(8) Compilation of status reports including monthly reports, for the logistics management related activities
(9) Preparing and registering of all letters to the client, joint venture partners, suppliers, logistics service providers, any other stake holders.
(10) Preparing and registering of all transmittals to the client, joint venture partners, suppliers, logistics service providers, and any other stake holders.
(11) Preparing and registering of all transmittals to the client, joint venture partners, suppliers, logistics service providers, and any other stake holders.
(12) Administration of the time sheets for contract logistics service staffs
(13) Maintaining of Project Logistics Service Providers' contact details
(14) Preparing/Updating/Reporting of the Inquiry/RFQ status tracker system for any logistics service/works
(15) Preparing/Updating/Reporting of the Purchase Order status tracker system, especially material status including shipping status
(16) Preparing/Updating/Reporting of logistics service providers' payment status to Logistics Manager.
(17) Any other logistics management related job scope items.
(18) Interfacing with all Project personnel, in Gloucester, London and Japan
(19) Interfacing with other joint venture partners in Gloucester, Japan, and Reston VA, USA.

2. Secretarial Work for Project Logistics Manager

(1) Arrangement of all business trips for logistics group members including the purchasing of air tickets, train tickets, hotel bookings, general transport, etc.
(2) Expediting and coordination of the contract staff time sheets of logistics group, and recording man-hour expenditure

Essential Skills / Qualifications:
The following knowledge and experience are required as a minimum;

(1)Fluent in written and verbal English language.
(2)EPC project experience, especially in logistics service of plant, systems and components.
(3)IT/PC/digital media knowledge inclusive of a minimum of experiences of Microsoft WORD, EXCEL, Power Point; Adobe PDF; and also Lotus/IBM NOTES, etc.
(4)Good communication skills in the multi-national, multi-cultural team members and staffs in the project team.

More than 10 years of experience as an Administrator/clerk/staff within Project Logistics Service functions.
