The Role:
Executive Administrator - Vancouver
Provides general and specialist administrative support for the team in Vancouver. The role also provides logistical support for visitors to the Vancouver office.

ACCOUNTABILITIES
* Plans and books complex travel itineraries to remote locations globally, including organising and managing travel correspondence information flow and approvals and engaging with counterparties and service providers to mitigate travel, safety, security and health risks.
* Acts as principal liaison with Supply and responsible for procurement. Helps prepare Scopes of Work for consultants and contractors. Tracks vendor performance and delivery of goods and services.
* Assists with record management, document control and data management including complex exploration data sets
* Assists with the set-up of the HR related aspects of South32 presence in Canada. This will be achieved in liaison with the Corporate People Function in Perth, GBS, and with external providers. Duties may include activities such as the development of an Employee Handbook (with heavy content input from the Corporate People team and/or External Providers); liaison with WorksafeBC as required.
* Provide support to personnel in Canada to enable them to function effectively. The focus of this support will be to connect them with the correct Corporate functions/teams in Perth and the GBS in South Africa to fulfil their business needs or identifying where a gap may exist.
* Incidental diary management for the Corporate Development team in Vancouver and South32 visitors to Vancouver

QUALIFICATIONS, SKILLS AND EXPERIENCE
* Experience in office administration for global exploration groups or resource industry consulting firm. Understanding of the exploration process an advantage
* Strong written and verbal communication skills. Developed numeracy with book-keeping experience an advantage
* Advanced computer skills (MS Office Suite) with a willingness to develop new skills. Experience with SAP (or other ERP) an advantage.
