Purpose of the role:
To assist in the provision of technical library and archiving services

Key responsibilities cover the following areas:
* To assist with the cataloguing and indexing of new records into the eSearch database.
* To assist in dealing with library reference requests from both internal and external sources to ensure that they are handled in a timely and efficient manner.
* To assist the Library Records and Information Analyst with library and information related projects as and when required.
* Maintaining registers of documentation in relation to its revision status and location.
* To work with Liverpool Bay Area Technical Library Administrator to allow coverage for staff absences and periods of high workload
* To provide advice regarding copyright and intellectual property regulations as and when required.

Main Accountabilities and Responsibilities:
* To assist with the cataloguing and indexing of new records into the eSearch database.
* To assist in dealing with library reference requests from both internal and external sources to ensure that they are handled in a timely and efficient manner.
* To assist the Library Records and Information Analyst with library and information related projects as and when required.
* To maintain registers of documentation in relation to its revision status and location.
* To provide support for Data Rooms and assisting with information requests from various Departments.
* To work with Liverpool Bay Area Technical Library Administrator to allow coverage for staff absences and periods of high workload
* To provide advice regarding copyright and intellectual property regulations as and when required
* To maintain company reference documents and journals organising the internal distribution and administration of annual subscriptions
* To issue controlled documents within the Company Management System.
* To maintain Registers of all documentation managed by the Technical Library in relation to its revision status and location.
* To organise the indexing and cataloguing of all library books/reference material to ensure that all documentation is easily accessible.
* To maintain the library's subscription and publication system including liaising with the appropriate external vendors.
* To manage the training and support of non-specialist users of the Company archiving system, and specialist users such as Technical Library Administrators in other sites.
* To organise the archiving of all documentation to ensure that retention schedules are advised and agreed and that information can be effectively and efficiently retrieved as required.
* To provide guidance to business units about data retention compliance in line with the company retention schedules.
* To manage the day-to-day administration of the G & G document management system ensuring database integrity and user access.
* To co-ordinate the receipt and registration of all new G & G documentation/data.
* To provide advice regarding copyright and intellectual property regulations as and when required.
* To ensure all archiving requests are entered onto the Library Back-charge system to allow accurate completion of the service usage reports.
* To liaise with departments and any external Project Groups and Contractors to ensure that any documentation requirements are negotiated to meet the Company's methodology and resources.
* To promote the use of digital data in place of paper documents wherever possible and to assist end-user departments to move towards this goal.
* To ensure full adherence to the Company's Health, Safety and Environmental policies, procedures and standards.
* To fully comply with the company's Code of Ethics and Compliance Model, and all relevant UK legislation.

Main Interfaces (relationships):
INTERNAL (company, no reporting line):
* Reports to Library Records and Information Analyst
* Provides support to all Departments and other business units.

EXTERNAL (external):
* Provide support to other company affiliates in the UK when necessary
* Liaises with information specialists e.g. British Library, etc.

Education & Professional Qualifications:
* Recognised Library or Information Science qualification, ideally CILIP member

Required Experience and Technical Competencies (relevant experience and technical skills):
* Previous relevant experience in a commercial library or records management
* Knowledge of MS Windows, Excel and Word, Library Database Systems.
* Advanced eSearch administration skills - cataloguing, data manipulation and searching.
* Understanding of copyright issues in relation to both hard and softcopy data.
* Understanding of classification and indexing conventions and procedures.
* Familiarity working with file structures.
