The Role:
The Product Certification Admin Assistant is responsible for providing an efficient administrative support service to the Head of Department and team in relation to daily activities.

They are responsible for ensuring office activities are delivered in line with departmental objectives and their agreed timings. In this role the team administrator will be required to work closely with other administrators, director's secretaries, team members, and first line managers.

Scope of the Role:
1. General Administrative Duties
a) Read, route, prioritise incoming mail/telephone calls and handle incoming correspondence
b) Assist visitors to department including arranging transport and hospitality
c) Handle/delegate routine matters (verbal and written) independently
d) Establish and maintain an accurate, comprehensive and accessible filing system
e) Ensure confidentiality of personnel matters, corporate or project matters
f) Act as receptionist i.e. meet and greet visitors
g) Flexibility for any departmental administrative cover purposes as required
h) Supporting and contributing to local continuous improvement activities
i) Other ad-hoc duties where applicable

2. Documentation and Distribution
a) Draft letters/memos/documents for signature, ensuring timely distribution
b) Ensure processing, issuing and timely availability of documentation needed for meetings
c) Preparation of documentation/information as required
d) Establishing, maintaining and updating departmental trackers/planners
e) Distribution of mail

3. Diary Management
a) Diary management of manager, arrange and coordinate meetings
b) Meeting room bookings and diary management
c) Assist in daily function and efficient running of the department and local office area

4. Travel Arrangements
a) Responsible for organising and arranging national/international travel as required.
b) Liaison with Company travel providers
c) Processing of travel expenses/expense claims and purchase orders

5. Administrative Support for Team
a) Responsible for monitoring and maintaining the department's shared drive in line with the pre agreed file structure, creating new top-level folders and when required oversee a periodic clean-up of electronic records.
b) Involvement/support for local departmental engagement activities

Essential Skills / Qualifications:
* GCSE or equivalent in English Literature/Language and Mathematics
* Competent at intermediate level or above in Microsoft Office Outlook, Word, Excel, Powerpoint
* German language knowledge/qualification desirable
* Demonstrable administrative experience
* Ability to work independently and proactively
* Demonstrable experience of communicating effectively at all levels
* Self- motivated and flexible
* Good attention to detail
* Working knowledge of Adobe Acrobat desirable
* Behaviours in line with the client's expectations
