The Role:
Main Goals and Objectives
Provide a professional, efficient and integrated support service for the HR Technical Operations Team, including provision of first level information, advice and guidance to Managers and Colleagues covering both HR Operational topics.

Main Responsibilities:
1. HR Service Delivery
* Administration and co-ordination of all activities associated with the employee lifecycle (recruitment and selection, new starters, leavers and all contractual changes)
* To be the first point of contact, fielding calls and responding to telephone and face to face queries for the HR Team, ensuring that all enquiries to the department are handled effectively and efficiently
* Develop effective relationships with managers to ensure timely receipt of HR documentation relating to e.g. starters, leavers and other changes
* Coordinate adhoc information requests from customer areas ensuring deadlines are met i.e. trainee nomination requests, holiday data

2. HR Systems/Data and Record Keeping
* Maintain the highest standards of organisation within our Colleagues dossier files and to keep filing maintained in line with Company and legislative requirements
* Ensure the SAP system is maintained on a very regular basis
* To work in collaboration with the payroll function to ensure that all information is accurate and all payroll deadlines are met;
* Maintain accurate and up to date records relating to all HR activity in accordance with Audit requirements and Data Protection;
* Maintenance of all trackers, working with Managers to ensure processes are adhered to i.e. probationary periods
* Create and develop HR statistics on a monthly, quarterly and ad hoc basis as requested by other members of the HR team

3. HR Operations
* Coordination and arrangement of Assessment of Potential, feedback sessions and ongoing monitoring
* Responsible for conducting exit interviews for leavers, as appropriate and reporting of reasons for leaving
* Coordination of absence management in customer areas ensuring return to work interviews are completed to the required quality
* Management of maternity cases for the customer areas ensuring timing information is relayed to the HR Officers for headcount forecasting purposes
* Coordination of flexible working requests ensuring statutory timescales are adhered to and any necessary next steps are catered for i.e. re-calculation of holidays, appeal meetings
* Support recruitment activity as appropriate
* Involvement in investigations and disciplinaries up to Verbal Warning level

4. Process improvement/Projects
* Involvement in continuous improvement activities within HR
* Create new HR processes/procedures/task instructions in conjunction with process owners
* Attend regular meetings with the HR Administrators to ensure HR deliverables are met in relation to Companywide initiatives and projects

Essential Skills / Qualifications:
Key skills:
* Demonstrable experience within fast paced administration/coordination roles (ideally within an HR team)
* Effective communication, organisational and planning skills, with the ability to influence & assert where appropriate
* Strong IT skills, in particular Outlook, Word, Excel and PowerPoint. Microsoft Project would be an advantage
* HR SAP experience is desirable
* Demonstrable high level of literacy & numeracy
* Positive & active team player
* Pro-activeness and initiative / self-starter
* High level of attention to detail
* Knowledge of key UK employment legislation would be advantageous
* Ability to adapt to and learn new IT systems quickly
