The Role

Responsible for the development, ownership and daily operations of the Learning Management System SuccessFactors module. Effective stakeholder and customer management in the system and data management.
Responsible for organising, coordinating, monitoring and reporting Talent, Development and Engagement events and activities for colleagues at all levels & from all Functions.
Support day to day financial activities and maintain records in relation to all PD&TM activities.
Ownership of document management system in relation to the LMS and all training/development activities.
No subordinates, but may be required to supervise contractors, administrative resource or trainees.
Working in a team, working closely with first line and liaising with all levels and parts of the business.

Key Responsibilities

Learning Management System SuccessFactors
* Primary liaison between Business Process Leader & System Administrator & advocate of system capability
* Plans for & manages detailed configuration needs for their module working with System Administrator to implement
* Defines, measures, analyses, improves & controls KPI's for their module
* Stays abreast of current & future system enhancements & release schedules & tests any changes
* Advocate of process improvement & new SF technology, e.g. chatbots
* Alerts System Administrator to functionality issues
* Adheres to and supports agreed change request and issue resolution processes
* Works with System Administrator & SAP to conduct regular "health checks", representing the function need
* Completes formal training & certification in relevant modules as a minimum
* Responsible for onward training of users to standards defined by the Governance Team
* Documentation & maintenance of annual process and system guides
* On-going interface with LMS systems owner

Document management system
* Ownership of document management system relating to all training and development processes
* Identify and initiate automated solutions to improve processes wherever possible
* Develop long term document management strategies linked to Learning Management System operations
* Ensure processes are accurately mapped and consistently applied

Development Events and Programmes
* Work effectively alongside business partners to determine plans for development events and programmes
* Effectively manage external consultants throughout the event process i.e., planning, preparation, delivery and follow up
* Drive content of learning and development catalogue
* Promote events to colleagues using appropriate internal communication mechanisms
* Monitor and manage event wait lists, completion of pre-course work, course cancellations and all colleague queries in relation to events
* Ensure feedback data is provided, analysed and translated into actions, in collaboration with business partners
* Produce regular measures reports for business partners in order to target interventions and improve quality

Financial co-ordination
* Co-ordinate annual plan, data and prepare reports to support budgets, phasing and actual spend for monthly finance meetings
* Raise all purchase orders, monitor and report spend against POs and approve invoices for the team
* Identify issues or risks to budget phasing and co-ordinate any re-forecasting activities if required
* Accurately cross-charge development activities on a quarterly basis

Skills & Experience

1. Experience of co-ordinating Learning and Development activities
2. Experience of IT systems management
3. Understanding of GDPR requirements and implications for employee data
4. Excellent attention to detail in managing customer data
5. Experience of working with technology to improve service delivery
6. Excellent customer service skills
7. Experience of customer services focussed environments and working with resilience to customer feedback and peaks of workload
8. Effective and persuasive when communicating to individuals and large groups alike
9. An ability to build and work with a strong network of key stakeholders

PRACTICAL & TECHNICAL KNOWLEDGE

1. Detailed understanding of SuccessFactors LMS and SAP at a technical level
2. Self-starter with ability to prioritise workload and work independently as well as part of a team
3. Excellent understanding of customer service principles
4. Knowledge of learning and development processes and best practices
5. Process mapping knowledge and experience
6. Knowledge of process automation - identification, testing and implementation
7. Excellent use of Microsoft office

QUALIFICATIONS

1. Educated to degree level or equivalent
2. CIPD qualification desirable
