The Role:
Responsible for organising, monitoring, coordinating and controlling operational or specialist activities of the department/function/project (as appropriate). Providing an overall departmental/functional/project (as appropriate) support and co-ordination role utilising technical/analytical skills and operational/business knowledge. No subordinates but may be required to supervise contractors, administrative resource or trainees. Working within a team/working closely with first line/project manager (as appropriate), and liaising with all levels of the business.


Office Coordination

a. Responsible for providing organisational support such as arranging meetings, organising events and travel, managing diaries (as appropriate)
b. Coordinate and support all senior management strategy and review events
c. Create, coordinate and maintain the status of departmental /strategic projects (as appropriate)with relevant managers, highlighting any risks/opportunities
d. Make decisions on routine matters to support team/department
e. Responsibility for the provision of office infrastructure supporting operations
f. Co-ordination of whole department communications
g. Ensure confidentiality of personnel, corporate product and project matters
h. Co-ordinate office when manager off site

Develop and Maintain

a. Develop and maintain regular reporting /database information
b. Prepare and ensure accurate and timely generation and distribution of departmental information
c. Produce presentations/ or reporting, and provide administrative support to ensure task co-ordination and consistency
d. Plan and maintain departmental personnel training and developmental activities

Planning and Analysis

a. Coordinate data to support departmental planning/budget management forecasting
b. Responsible for forecasting, monitoring and controlling of cost centre budgets
c. Co-ordinate any re-forecasting activities and support/advise on negotiations
d. Screen and challenge travel cost options (or similar) on behalf of department/manger
e. Engagement of any stakeholders supporting delivery to plan/project requirements
f. Responsible for identifying any issues or risks affecting daily operation/budget of department/function/project (as appropriate), and recommend remedial action

Project Work/Continuous Improvement Activity

a. Data analysis of processes/costs, supporting recommendations for improvement
b. Other project /engagement activities support as directed

Essential Skills / Qualifications:

Demonstrable experience of strong communication and influencing skills
Self-starter with ability to prioritise workload and work independently as well as part of a team
Proven analytical and organisational capability
Demonstrable experience and understanding of function and cross business operating systems and processes
Working knowledge of SAP desirable


GCSE or equivalent in English Literature/Language and Mathematics
Business Degree / National Certificate/Diploma or equivalent demonstrable experience
Competent at intermediate /advanced level in Microsoft Office Outlook, Word, Excel, Powerpoint
German language knowledge/qualification desirable
