The Role:

This role is responsible for providing an efficient administrative support service to team/manager in daily activities and ensuring office activities are in line with Company and departmental objectives/agreed timings. In this role Colleagues should work closely with other administrators in department, and /or director's secretaries, team members, and first line managers (apply as appropriate). Regular reports should be made to manager(s).


General Administrative Duties
a. Read, route, prioritise incoming mail/telephone calls and handle incoming correspondence
b. Assist visitors to department including arranging transport and hospitality
c. Handle/delegate routine matters (verbal and written) independently
d. Ordering and managing stationary requirements for the department
e. Office equipment maintenance, bookings and re-ordering
f. Establish and maintain an accurate, comprehensive and accessible filing system
g. Ensure confidentiality of personnel matters, corporate or project matters
h. Act as receptionist i.e. meet and greet visitors
I. Flexibility for any departmental administrative cover purposes as required
j. Supporting and contributing to departmental continuous improvement activities
k. Other ad-hoc duties where appropriate

Documentation and Distribution
a. Draft letters/memos/documents for signature, ensuring timely distribution
b. Ensure processing, issuing and timely availability of documentation needed for meetings
c. Preparation of documentation/information as required
d. Establishing, maintaining and updating departmental trackers/planners
e. Distribution of mail

Diary Management
a. Diary management of manager (s) and /or team, arrange and coordinate meetings
b. Meeting room bookings and diary management
c. Assist in daily function and efficient running of department/office

Travel Arrangements
a. Arrange national/international travel as required
b. Liaison with Company travel providers
c. Processing of travel expenses/expense claims and purchase orders

Administrative Support for team
a. Involvement/support for departmental engagement activities


* Demonstrable administrative experience, ability to work independently and proactively
* Demonstrable experience of communicating effectively at all levels
* Self- motivated and flexible with good attention to detail
* Working knowledge of SAP desirable
* Behaviours in line with People Framework


* Knowledge of local systems and processes is desirable


* GCSE or equivalent in English Literature/Language and Mathematics
* Competent at intermediate level or above in Microsoft Office Outlook, Word, Excel, Powerpoint
* German language knowledge/qualification desirable
