The Company:
My client supplies gas and electricity to UK residential and business customers, provides central heating and gas appliance installation and maintenance and low-carbon and energy efficient products and services.

The Role:
The Academy provides cost-effective training solutions for new & existing employees, serving the needs of all business units. The Academy also provides training services for third parties. The job holder is responsible for providing a quality support service within the Central Administration Team. This will include liaising with Academy staff/learners, colleagues from the wider business, Third Party customers and relevant external agencies. The Academy Support Administrator will be situated at Leicester Academy however occasional travel to other Academy sites may be required.

• Delivering administration support for Academy staff associated with all relevant certification programmes, ensuring all data is processed in accordance with Awarding winning procedures, processes and timescales.
• Financial responsibility for cost transfers, raising PO’s, budget ledger management, create invoices for 3rd parties, managing accounts with external suppliers, salary uplifts for trainees
• Safeguard sensitive data via archiving and keeping accurate records with a 3rd party
• Delivering comprehensive support for administrative activities associated with:
•Field Development planning across all business units o ACS Training & Assessment planning
•Third Party: Technical training, Assessment planning, kit ordering & providing MI.
•BGSM- ACS, MOCOPA, DNO, First Aid, sealing pliers & Gas Safe.
• Deliver excellent customer service to all Academy customers including third parties:
•Managing and handling all customer queries until resolved
•Ensuring Service Level Agreements are achieved for internal and external customers
• Maintain and update important learner information on relevant databases (SAP, C&G, MS Excel Trackers etc). Monitor and process all essential qualification and certification data for internal/external learners, to include Technical Training, Mandatory Briefs etc.
• Responsible for government funding procurement (Scotland/England/Wales) by ensuring all documentation is completed to the required standard and in line with quality procedures.
• Ensuring that ordering equipment for the Academy is cost effective and completed in a timely manner, ensuring financial ledgers are completed accurately.
• Liaising with local administrators to deliver support, ensuring that the respective Academies run as effectively as possible.
• Fully supporting in external and internal audits as required, enabling the Academies to maintain the highest standards of quality in all areas.
• Identify any operational and regulatory risks, escalating as appropriate.
• Adhere to the Competence and Training procedures, promoting a culture where customers are treated fairly and are properly informed.

Essential Skills / Qualifications:
Knowledge & Qualifications
• Safety as their number one priority
• Previous experience in a busy administrative role
• Excellent IT skills are essential, including knowledge of Microsoft Office packages – in particular Excel and Word, as well as experience of internal and external company systems and sites.
• Knowledge and understanding of National Vocational Qualifications, Scottish Vocational Qualifications, QCF, Learning Skills Councils, Sector Skills Councils, Funding Agencies, Apprenticeships and the frameworks governing their existence.
• A full working knowledge of QMS and ISO procedures.
