The Role:

Roles and Responsibilities:

General Administrative Support

• Provide day to day / general administrative support;
• Assist in the organization of meetings and general travel arrangements. Includes on-site and off-site meetings, small and large conferences, setting up catering, transportation detail, preparing materials (copying), in-meeting support, etc. For travel, this includes passport/visa support.
• Support in the preparation of presentations and reports
• Attend the meetings and take and prepare MOM (minutes of meeting)
• Proofread and translate documents / Interpret at meetings as required
• File and retrieve documents, records, reports and SPP (standards, practices, procedures)
• Develop and manage calendars, schedules, agendas and team travel
• Ad-hoc interpreting as required

General Technical Support

• Track and maintain the team records, data and logs, daily reports, Team Members’ timesheets, Minutes of Meetings, Action logs.
• Arrange travel plans for site team and visitors, coordinate transport to/from site, camp room reservations, etc.
• Prepare reports, memos, letters and other documents, using word processing, spreadsheets, databases and/or presentation software
• Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution
• Manage databases
• Office support (business machines maintenance and scheduling, floor planning, office moves, ordering of supplies and services, master keys, shipping/ receiving mail and parcels, filing) – consistent with client's policy and procedures
• Prepare responses to correspondence containing routine inquiries
• Ad hoc tasks, supporting wider external affairs team activities

Education &Professional Experience:
• University diploma or equivalent
• Training in office administration, MS Office programmes including Outlook , business skills or equivalent is a plus
• Work experience on large, English language based construction projects involving international contractors






Other Requirements:
• Fluency in Georgian and English
• Knowledge of Computer literate in MS Word, Excel, Power Point, Outlook
• Blind typing
• Georgian citizenship

Personal Skills:
• Team player, communicative, positive ‘can do attitude’, disciplined and organized
• Strong time management and planning; Effective report writing and file/document management
• Strong personal safety culture and ability to work without excessive supervision
