Admin Assistant (PA to Commissioning Manager)

The Role:
* Liaison between onshore terminal and operations management and personnel
* Coordination between onshore terminal offices and Company's Baku based offices.
* Provide support to all visitors to onshore terminal and where appropriate existing terminal facilities
* Coordinate all "corporate" communications with / to PGM / Construction manager
* Coordinate diaries of PGM / Construction Manager
* Arrange and coordinate meetings with other PMT members / SD2 personnel
* Assist in facilitating meetings, presentations and workshops
* Assist in the general office logistics, as required by management
* Responsible for a variety of office administration duties, including but not limited to:
- Compiling, processing and updating Project data
- Maintaining a filing system with Delivery / Construction Manager
- Distributing and filing of project correspondence with /for Delivery / Construction Manager
- Organise conferences and meetings with / for Delivery / Construction Manager
- Maintaining leave / rotation register for all Company's PMT
- Maintaining calendar for Delivery / Construction Manager
- Arranging business and other travel in conjunction with Company's travel department, for Delivery / Construction Manager
- Liaison with business expense team
- Coordination of international post in conjunction with administration department

Essential Skills / Qualifications:
* Competent in communicating in English language, both verbally and written, together with an understanding of Azeri and Russian languages
* Ability to work on own initiative
* Good inter-personal skills
* Track record in organisational skills for administration tasks
* Ability to produce written reports, minutes of meetings, and other basic contract documentation
* Ability to interact / communicate with all other administrative and management functions within a busy site environment
* Understanding of local culture within Azerbaijan
* Flexibility in approach - willing to take on "non-core duties"
* Detailed knowledge and understanding of software packages - Windows, Excel, Power point, word, outlook.
* Recognised administrative or business qualification (obtained locally or internationally)
* Track record of experience gained on large projects, in a similar role leading to development of the following skill sets:
o Working / interfacing with administration teams within op

Desirable Skills / Qualifications:
* Degree level qualification in business or administration related fields
* Speed writing and or shorthand skills
