The Role:

Office Management

1. Provide administrative support to management and other personnel within the office to ensure their needs are met.
2. Issue Company letters, Power of Attorney and other official letters and translation as requested.
3. Purchasing of stationary, furniture, phones, water, food stuffs and other office supplies
4. Purchasing and provision of cleaning staff for apartments and office
5. Manage financial information including petty cash, keeping expense records with appropriate reporting.
6. Maintaining the good condition of the office and arranging for necessary repairs.
7. Maintain a safe and secure working environment
8. Support to HR Manager in travel, visas and work permit documentation as a back-up of Immigration Coordinator.
9. Daily transportation and M&G arrangements
10. Arrange meeting and conferences as requested.
11. Provision of marketing information for the Company website
12. Updating contact/ phone list

1. Greet, register visitors, Issue badges and notify appropriate staff of their arrival.
2. Answer telephone calls and transfer calls to appropriate staff.
3. Pages or takes messages & ensures distribution.
4. Organises coffees and lunches when required
5. Completes expense reports for senior management
6. Sorts & distributes inter-company and incoming mail and faxes
7. Prepares inter-company courier mail.
8. Helps with general administration work in the office as required, typing, filing etc.
9. Maintain office/workshop equipment (cartridges, printers, fax machines, A/Cs, vacuum cleaners etc); keep record of the company’s keys.
