The Role:
JOB PURPOSE
• To assist the Operations Support Assistant in the management of the document control systems. Assist with the provision of support to operations and engineering teams by maintaining the information infrastructure. Assist with the promotion of continuous improvement of the Terminal operations and data management.

KEY RESPONSIBILITIES

• Adhering to all site safety and security procedures
• Dealing with general requests for information / assistance
• Be responsible for managing their own VTA and CMAS profiles to avoid expired or overdue training


Document Control
• Assist with the day to day manning of document control library, including the updating of controlled hard copies
• Assist in Controlling all revisions of documents in Documentum i.e. drawings, specs, data sheets etc
• Assist in compiling information in relation to projects and day to day operations
• Assist in the issuing of new document numbers, tag numbers, valve numbers etc and maintaining associated documentation
• Assist in the handling of internal requests for documents and reports using information stored both on and off site – this usually means retrieving information from our offsite storage company
• Assist in the typing and formatting of all annual procedure reviews
• Assist in the tracking of all procedure reviews as per PMAF system
• Produce Transmittals to and from site for all document updates and project information as required

MAXIMO Support
• General administration of Maximo database and linking Maximo job plan references to various documents held within Documentum
• Scanning of GOC Certification and linking to Maximo Work Orders

Training & Development
• Assist in arranging Training courses for Terminal staff when requested

Post & Notice Boards
• Collect, distribute and send Terminals post on a day to day basis, including small parcels.
• Ensure the Terminals notice boards are maintained in a tidy state, with notices being updated in a timely manner as requested.
• Manage stock levels in the Terminals stationary cupboard.
• Assist with room bookings, buffet meals and events organisation as requested.
• Man the Terminals switchboard as and when required.
• Provide holiday cover to the Terminals Managers PA.

ESSENTIAL CRITERIA
• Ability to work within a team and a focus on safe delivery against demanding targets.
• Demonstrate ability to work in within own and other teams.
• Be able to work with the most common software tools, word, excel etc.
• Be accurate and timely with work.
