The Company:
Our Client is an International Company involved in the supply of Energy globally. Their Operations cover Exploration, Production and Downstream and at present they have projects in over 25 Countries worldwide.
In Australia they are involved in one of the Country's largest LNG Projects, including both Gas and Condensate which is currently in FEED (Front End Engineering Design) Stage.

The Role:
Our client is currrently recruiting for an Administration Assistant to based at their Darwin office. primary objective of this postion is to provide administrative support and reception to the Darwin office.

Key responsibilities of this position include:

Book and set up both internal and external meetings for the office.
Take, type and distribute minutes from meetings.
Update and distribute the Darwin Weekly Report. This includes ensuring the correct points are forwarded to the appropriate assistants for the Corporate Managers Meeting and Project Managers Meeting.
Assist in travel arrangements for Darwin staff.
Manage office administration and filing system including binding, photocopying and scanning of documents.
Circulation of industry periodical/ magazines for internal review.
Provide office and miscellaneous typing support as required.
Assist in the maintenance and control of the project documentation using the Document Control System.
Produce presentations using Microsoft PowerPoint for internal and external meetings.
Organise Vendor and Purchase Requisition information using SAP for expenses occurred for the department.
Maintain a high standard of presentation for the reception foyer and meeting rooms.
Answer, screen and forward calls for staff and take messages where required.
Collect, sort and distribute mail and newspapers. Restock the kitchen supplies on an as need basis.
To electronically book and manage the use of meeting rooms using Microsoft Outlook.
Ensure visitors, guests and trades are signed in/out and arranged escort to secure areas.
Organise local and international couriers as needed (which includes updating of associated register/s).
Provide tea/coffee for guests.
Distribution of incoming faxes (and updating of associated register).
Monitoring and management of in-house recycling/confidential bin service.
Control and ordering of stationery and office consumables/equipment.
Manage the maintenance, cleaning and security for the Darwin Office.
Manage the petty cash and monthly reconciliation of monies.
Provide visitors support whilst in the Darwin office and assist the PA with arrangements for visitors.
Other duties as directed by the Personal Assistant, Deputy General Manager or General Manager.

Desirable Skills / Qualifications:
Senior First Aid Certificate.
Advanced skills in Microsoft Office.
A minimum typing speed of 60 wpm with 90% accuracy.
Good communication skills, both oral and written.
Very strong organisation skills.
Strong team working skills.
Enthusastic & ability to multi-task.
