The Role:
A position has become available for a Perth based Administration Assistant to join a leading Oil and gas Operator. This role entails reporting to the Senior Administration Assistant supporting the Resource team & shared inbox.

Responsibilities include but may not be limited to:

•Contribute to the relevant Team;
•Exceed expectations of compliance with Osprey and CSOC Feedback systems;
•Assist the Project Management team to be aware of and comply with the various related functional and requirements.
•Establish strong relationships with Administration & Central team members;
•Assist with management meeting logistics including travel, venue, catering etc;
•Assist with the administration and preparation of materials;
•Assist with the preparation and management of key documents for the team:
•Assist with preparation internal and external presentation slides and memos;
•Assist with preparation of formal documents, correspondence and notices;
•Maintenance of respective Coreworx and Share Point document management systems for the Project Management team in particular incoming/outgoing correspondence.
•Assist Senior Administration Assistant
•Work within an admin resource pool with a shared inbox
•Coordinates and performs a range of staff and/or operational support activities for the unit; serves as a liaison with other Program and project teams in the resolution of day-to-day administrative and operational problems.
•Provides administrative/secretarial support for the program such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries.
•Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for supervisors, which may include coordinating travel and lodging arrangements.
•Prepares or assists with the preparation of scheduled and/or ad hoc statistical and narrative reports; performs basic information gathering and analysis and/or forecasting, as specifically directed.
•Assists program management and staff in problem solving, project planning, and development and execution of stated goals and objectives.
•Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports.
•Assist SAA with Passport and Visa application requirements as required;
•Assist SAA to book and coordinate extensive travel arrangements and provide personal itinerary and relevant briefing material for all domestic and international travel as required;
•Provide SAA with support for VIP tours, travel and engagements as required. :
•Assist with meeting & workshop logistics including travel, venue, catering etc;
•Assist with building and maintenance issues;
•Assist with sourcing information and updating the Administration Standards Guidelines;
•Liaise with Admin Assistants to maintain and promote cohesion with other sections on the Project
•Provide reception cover on a needs-be basis;
• Other ad-hoc duties as required.

Essential Skills / Qualifications:
•Strong customer focus and commitment to meeting outcomes.
•Demonstrate a proactive approach and strong ownership.
•Intermediate skills in MS Office applications (Word, Outlook, Excel, Powerpoint)
•Ability to work autonomously in a fast paced and ever changing working environment.
•Be able to collaborate internally and externally with key stakeholders including JVP’s, Contractors and Suppliers
