The Role:
Responsible for ensuring effective administrative support is in place for management of the IT E& P department. This role is responsible for wide ranging Administrator duties for IT including Purchasing, on boarding/off boarding admin activities, Stationary Management and other adhoc administrative duties. The Administrator allows provides PR activities for the IT Manager such as Travel Co-ordination, Calendar Administration and Meeting Arrangements.

Primary Functions:
• SAP Requisitioning for IT Organisation, including purchasing and invoice payments, Ensuring all necessary processes are communicated and adhered to, including Single Source Justification and any applicable contracts.
• Smooth co-ordination for new starts, leavers and transfers as end user representative (EUR) for IT
• Ownership of the EUR process for UK E & P, which includes training new EUR’s and rolling out changes to process as appropriate
• Activities as deemed appropriate by the IT Manager, including travel arrangements, calendar booking, meeting arrangements.
• Software Asset Management, including tracking maintenance and license costs and obligations.
• General administration duties: stationery management, group events
• Provide confidential administration on all matters arising
• Attending meetings and providing services such as minute taking, organisation/logistical activities
• Provide Monthly Reporting for SAP and Key metrics as deemed appropriate
• Headcount Management and reporting
• Update personnel lists, floor plans, organigrams etc.
• Responsible for adhoc reporting and key activities of IT
• Provides Coordination and ownership of the Training requirements for IT Key Roles
• Ownership of the Apps Reporting Tool
• Ownership of the Export Compliance Tool and associated Administration Duties
• Procurement Card Purchases as appropriate for the IT Organisation
• Establish & Maintain productive relationship with all departments

Critical Skills:
1. Core Technical Experience
• Experience of SAP
• Experience of SharePoint and Livelink is advantageous
• Good Microsoft Office skills
• Proficient in using Outlook calendar appointments

2. Personal Characteristics
• Excellent organisational and time management skills
• Good interpersonal skills with the ability to communicate efficiently across all levels of the organisation
• Motivated, professional and proactive, requiring minimum supervision.
