The Role:
B. Purpose
Admin Leader position has key responsibilities to assist Senior General Affair Leader for administrative tasks such as take a support and supervise activities in the office. Planning and management all related administration/general affairs activities.
Admin Leader position has to implement his/her duty and to ensure that his/her task meet time schedule and competitive price within budget approval and NSRP policy.

C. Responsibility
Guide, direct and motivate his/her subordinates including the setting of performance standards and management, supervision his/her duties as follows:
1. Make plan, give guideline and supervise admin staff to control of all administrative activities and in order to ensure that assistant actions are performed in an effective and efficient manner.
2. Take lead in supplying stationery and beverage for Hanoi office and Refinery staffs and inventory management of these items.
3. Monitor overall maintenance of all buildings at the plants, manage subcontractor in association with Service Control Team for cleaning & maintenance activities of office premises, equipment & furniture, others maintenance, leasing, insurance, periodically asset inventory office equipment.
4. Take Lead admin assistant in getting visa, passport, book hotel, work permit and related documents for expatriate staffs or customer in Hanoi and Thanh Hoa province.
5. Support and coordinate with other departments/divisions in organizing event, engagement session, staff dinner, party etc…
6. Contact with related authorities and suppliers for other tasks such as power, water supply and consumable to refinery and accommodation as well.
7. Perform regular evaluation on service providers and propose plans to improve service quality
8. Control plant communication in terms of cost and quality including internet, lease line, telephone, walkie-talkie hired, fax machines. Manage mail delivery within the office.
9. Manage/Control and report as needed for the service in office including: cleaning / housekeeping, pest control, hotel rental, maintenance building, carpet shampooing, courier, all activities relating to receptionist and secretary etc…
10. Coordinate between admin staff in Hanoi office and Refinery in handling letters/packages sending from Refinery to Hanoi and vice versa smoothly.
11. Develop, review Section procedures, rules, regulations, etc relating to his/her responsibility.
12. Making weekly / monthly report for Senior GA Leader/GA Manager
13. Act as Admin building Head Count in case of fire or toxic release in Emergency Response Team (the one who is appointed).
14. Other duties as assigned by GA Manager and Senior GA Leader.

Essential Skills / Qualifications:
Only candidates who already obtained the permission to work in Vietnam would be considered.
A. Requirements

Educational Level : University Graduated
Work Experience : 10 years’ experience in a same position in administration /general affair or Equivalent
Specialty/Qualification A bachelor’s degree in administration university or equivalent
Skills :
- Supervisory skill: able to monitor work perform by staff in term of quality, time schedule, cost spending
- Leadership skill: able to motivate subordinates
- English skill: able to communicate verbally and write work instruction / procedure
- Planning skill: able to set priority, control daily activities
