The Company:
Our client, a major owner/operating company, requires expertise for their ongoing oil sands mega-projects in Alberta.

This position is open to Canadian Citizens and Permanent Residents only.

The Role:
As an Administrative Assistant your main duties will involve:
• Provide secretarial support to manager and group members
• Provide backup support for floors Administrative Assistant(s)
• Assist Technician(s), when needed
• Carry out “department-wide” administrative assignments, e.g., usually on a rotational basis
 SAP HR Inquiries
 Recruiting Program
 Training, e.g., EXTRA Expense Account Training
The ideal candidate will also
• Serve as liaison with Human Resources (HR) to organize newcomers/visitors work permits/visas
• Maintain vacation records
• Carry out administration tasks, such as:
 Assist with meeting arrangements
 Make travel bookings, conference arrangements, and events arrangements
 Prepare and submit expense accounts
 Prepare letters, memos, presentations, faxes
 Perform clerical and general office duties, word processing, record and files maintenance, mail distribution, and telephone reception
 Track groups Training
 Coordinate vacations and absences with other Kearl Project Administrative Assistants
 Update Staff Database and Directory with group changes, as needed
 Prepare and submit business card/stationary orders for group members

Essential Skills / Qualifications:
As an Administrative Assistant you will have experience:
• Extensive knowledge of e-mail systems
• Extensive knowledge of word processing and data management systems, e.g., Microsoft applications: Word, Excel, PowerPoint
• Knowledge of Microsoft Access, Visio, Timewriting, EXTRA, and SHARP Timekeeping System
• Experience making travel arrangements and in-depth knowledge of expense reporting and other administrative systems
