The Company:
Our client, a major owner/operating company, requires expertise for their LNG mega-project in Western Canada.

This position is open to Canadian Citizens and Permanent Residents only.

The Role:
As an Administrative Assistant you main duties will include:

•Coordination of meetings and special events including agendas, conference room reservations, catering, gathering presentations materials and distributing pre read
•Booking travel for leaders, expense reports, managing schedules as needed
•Systems Expertise and Support using Microsoft Word, PowerPoint, Excel, Outlook, and Adobe Acrobat
Preparation of general correspondence such as technical reports, presentations, agendas, meeting notes, and team contact lists
•Update client's boards, distribute monthly packages and track participation
•Provide backup administrative support as needed
•Coordination of team’s information management (IM) including:
•Liaison between the teams
•Downloading documents and company records into document control system
•Filing and file room maintenance
•Point of contact for receiving and distributing records
•SharePoint site Administrator

Essential Skills / Qualifications:
The ideal candidate will have experience:
•Associate Degree in Business or Administrative Assistant fields, or equivalent trade-off in pertinent work experience.
•Previous Administrative or Executive Assistant experience including booking travel, calendar management, expense processing, ordering office supplies, coordinating office moves and other duties as required
•Ability to follow process and suggest improvements where necessary
•Excellent written and verbal communication skills
•Organized and able to handle large work load with little supervision
•Proficient skill level in Microsoft Office Suite software such as Word, Excel and PowerPoint.
•Ability to take initiative and adapt to changing work priorities
•Team player with exceptional interpersonal and communication skills
