The Company:
Our client, a major international oil and gas operator, seeks an Administrative Assistant to join their team!

The Role:
The position provides comprehensive administrative support to the GWO GOM Procurement & Supply Chain Management Director and his team. Responsibilities will include administration of calendars, correspondence, travel arrangements, expense preparation, office vendor services, new hire/contractor on-boarding, office moves, digital equipment and telephone support, coordination of onsite/offsite meetings and preparation of selected reports. The successful candidate will have strong organizational skills, be able to prioritize and balance a variety of tasks, and have exceptional interpersonal skills. The candidate will be responsible for the following tasks:

Administrative Assistant
• Prepare online expense reports for Director and provide expense report related coaching where needed to team
• Maintain office supply inventory
• Order office supplies for inventory and team members
• Coordinate office arrangements and moves
• On-boarding of new team members (phones, PCs, ids, access to online systems, mail, etc.)
• Arrange meeting rooms
• Arrange food/meals/special arrangements for meetings
• Arrange travel logistics for team members
• Track and report all team training requirements and completion
• Participates and take minutes/action items for bi-weekly team lead meetings
• Plans and executes team celebrations
• Manage distribution lists for teams
• Super-user delegate to create Shop Request Forms (SRFs)
• Provide monthly HSSE reports to team
• Providing Microsoft Office Suite support with Power Point, Excel, Word, etc.
• In support of the GoM GWO PSCM Director: - Effectively manage calendar and resolve calendar conflicts. - Maintain team organization charts and team calendars. - Handle information of a confidential nature.
• Floor safety warden duties
• Must have strong Microsoft Office
