The Company:
Our client, a major owner/operating company, seeks expertise for offshore mega-projects in Canada.

Please note: Our client will give first consideration to residents of the province of Newfoundland & Labrador.

The Role:
• Arrange audio-conference meetings.
• Maintain correspondence log for documents, using current project specific numbering system.
• Set up and maintain filing system for Project Team.
• Attend and record minutes for meetings and post to internal network.
• Initiate requests for PCs, software, internet access, telephones, LAN, Lotus Notes, shared drive access, transfers and access cards for new / existing employees and contractors.
• Initiate requests for office equipment i.e. printers, fax machines, etc.
• Organize travel arrangements.
• Maintain various tracking spread sheets for office equipment, staff whereabouts, contact lists, project documents, discussion notes, etc.
• Ensure staff timesheets are submitted appropriately and in a timely manner.
• Maintain office equipment i.e. printers, faxes and photocopiers.
• Supply administrative support to team members as required.
• Order and maintain office supplies for department.
• Co-ordinate / book meetings and organize catering requirements as required.

Essential Skills / Qualifications:
• High School Graduate.
• Administrative Assistant diploma or equivalent training / experience.
• Extensive knowledge of Microsoft Office Suite products and Lotus Notes.
• 2 -3 years’ experience minimum.
• Ability to multitask.
• Self-starter, who can demonstrate initiative.
• Effective team player.
• Strong computer skills in the following programs are essential attributes for this role: MS Excel, MS PowerPoint, MS Word.
