The Company:
Our Oil & Gas client is in need of an Administrative Assistant- Supply Chain for a 1 year contract opportunity in Houston, TX

The Role:
This position will assist Contracts Supervisors, Contract Specialists and, Contracts Supply Manager for North America Shale in achieving their goals by providing contract and administrative support along with assisting with data analysis, reporting, administrative services and technical support as identified.

• Review contracts created in contract management system and can ensure that they are structured correctly for audits.
• Prepare and manage the various schedules for the Contracts team, e.g. Meetings; Vacation; Lunch and Learns; Team sessions etc.
• Work with Process Improvement Supply group to ensure that the most current approved terms and conditions are stored in standard formats and readily available.
• Preparation and/or validation of all contract attachments, exhibits, or amendments to standard form agreements.
• Assist with Vendor pre-qualification process. Issue Commercial and HSE prequalification questionnaires in compliance with Supply Global Processes and Procedures.
• Administer and receive contracts packages for timely and proper review and execution.
• Utilization of the Integrated Work Management and Business System to assist in achieving contract and procurement support efficiencies and objectives.
• Preparation of reports and statistics to assist with the performance assessment (KPI’s) of the Contracts process and the Procurement process.
• Develop Power Point presentations using data obtained from SAP.
• Preparation and formatting of tenders and contracts in Microsoft Word and PDF formats.
• Assist in the standardization of documentation in order to reduce the contract process cycle time.
• Liaise with Legal, Finance, HSE, and other Asset and Resource Team as required by.
• The maintenance and operation of the Contract Management System that reflects all contracts and status. Issue status reports to customers as scheduled and as requested.
• Liaise with Computer System Centre to ensure proper recording of services into Company system (SAP/Portal/CMS).
• Preparation and distribution of weekly reports as required by Contracts Team and Management.
• Provide guidance to customers on the requirements of the Supply Global Processes and Procedures team for North America Shale - Contracts activity.
• Ensure electronic records of all documentation are filed in electronic document storage system (Documentum) in compliance with the document control system in a timely manner that ensures efficient retrieval.

Essential Skills / Qualifications:
• Bachelors Degree
• Desire to learn and develop skills Experience & Technical Competencies
• Minimum of 5+ administrative experience with an emphasis on E&P Business
• Strong customer service skills
• Advanced skills in Microsoft Project, Word, Excel & PowerPoint
• Contracts experience with a detailed understanding of contract terms and conditions and associated risks for E&P services and equipment contracts.
• Demonstrated ability to learn quickly, self starter that can react quickly to changing priorities
• Risk management skills
• Superior problem solving skills
• Ability to work with minimal supervision
