The Role:
THIS POSITION IS AVAILABLE ONLY FOR AZERBAIJANI CITIZENS
• Assist and support the Delivery Manager to achieve his contract objectives
• Demonstrate a commitment to HSSE by actively engaging the client's site team personnel with actions – primarily regarding office safety - that contribute to delivering on client’s HSSE expectations
• Promote team relations in line with the Delivery Manager’s expectations
• Compile, maintain, coordinate, and communicate (as appropriate):
o Client's Site Team Action Items List
o Site meeting schedule
o Events calendar
o Personnel transportation and driver assignments
o Personnel location board
o Site team organization chart
o Site employee personal details (confidential) such as contact numbers, next-of-kin, etc.
• Assist with the editing, formatting, issue, and filing of official project letters from the Delivery Manager and designated Site Team Leads
• Assist with the development & assembly of presentation slides for leadership team site visits, team meetings, Town Halls, etc.
• Prepare and distribute team meeting minutes
• Assist with organization and facilitation of team-building sessions, meetings, presentations, business lunches, workshops, and other social events
• Assist with arranging business travel
• Manage a variety of administrative duties – with assistance from other team staff – including:
o Maintain inventory of general office and stationery supplies
o Ensure all office furniture and equipment is properly maintained
o Replenish kitchen supplies as needed
o Ensure that kitchen appliances are in good working order
o Keep inventory and distribution records of all company-provided tools and equipment, such as cameras, flashlights, measuring tapes, etc.
• Demonstrate basic skill and character prerequisites on an on-going basis

Essential Skills / Qualifications:
• Minimum of 10 years’ experience in either a secretarial or personal assistant role for senior expatriate manager(s)
• Significant experience in working in a role where high levels of confidentiality, conscientiousness, and commitment are required
• Minimum of 2 years’ experience working at a remote location or construction site
• Experience with supervision or coordination of administrative staff
• Experience in organising and co-ordinating team building events and conferences
• Substantial experience closely aligned with job responsibilities
• Ability to perform effectively in a team environment, inclusive of demonstrating collaborative, flexible, adaptable, and tactful personal characteristics
• Very competent in effectively communicating in both verbal and written English
• Service-oriented attitude of anticipating, recognizing, and assisting to meet team needs
• Confident, creative, and energetic approach to problem-solving
• Ability to plan, work, and resolve issues on
