The Company:
One of the world's largest mining companies.

The Role:
The Team Assistant will support the NA Shale Finance department by managing information flow and communications, managing office administration, maintaining various databases and network files, and assisting with the overall business objectives of the department. This position will report directly to the Sr. Division Finance Manager but will also support various other members of the department and some other professionals on the floor from time to time.

• Work various projects as defined by the Sr. Division Finance Manager
• Produce high quality documents, presentations, and charts
• Maintaining effective internal/external office relationships and liaising confidentially with senior management and their respective administrative assistants
• Perform document management activities for the team
• Create and maintain up-to-date contact lists
• Process requisitions and service entry sheets in SAP
• Organize and coordinate functions, such as conferences, luncheons, and meetings
• Coordinate compilation of weekly report
• Arrange domestic and international travel and; if needed, visas
• Provide administrative support including: telephone coverage, mail handling, inventory of supplies, ensure the efficient flow of documentation throughout the department, and necessary communications internally and externally
• Independently determines which items are to be forwarded to executive or redirected to other staff and prepares relevant information
• Act as resource regarding policies and procedures
• Provide information by answering questions and requests
• Assist Sr. Finance Manager in daily activities; coordinate manager’s calendar/appointments

Essential Skills / Qualifications:
• Minimum of five (5) years administrative experience
• Strong demonstrated proficiency in MS Office Suite, including Word, PowerPoint and Excel and ability to create PDF files from native format files required
• Strong oral and written communication and interpersonal skills; professional approach
• Document Management experience
• Ability to work well in a team environment
• Ability to write concise documents
• Ability to independently gather and integrate data to produce spreadsheets
• Initiative and creativeness
• Self-starter, ability to prioritize work with a minimum of supervision
• Decision making ability and good organizational skills are required as this position will be responsible for decisions regarding day-to-day activities
