The Company:
Our client is an international O&G Operator with a particular focus on the Middle East area.

The Role:
JOB DESCRIPTION:

Carry on the tasks of End-2-End correspondence workflow for all official incoming and outgoing correspondence as per site Correspondence, control procedures and communication protocol guideline.


Responsibilities:

1. Monitor SIPD correspondence mailbox and action requested correspondence as per distribution list. Collect information and maintain all details needed to process the correspondence such as distribution list, addresses, accounts, updates, timelines … etc.

2. Dispatch all correspondence to distribution list / action parties as per correspondence protocol.

3. Obtain required comments, approvals and signoffs.

4. File all correspondence electronic/hardcopies following the correct procedures.

5. Maintain a tracking sheet for every incoming and outgoing official correspondence.

6. Capture the team’s comments on the responses and send reminders for timely outgoing response to incoming inquiries.

7. Ensure correspondence meet site project standards and are produced within the required timeframe.

8. Optimize and improve SIPD correspondence templates and roll out to internal stakeholders Issue correspondence numbers, label, format, and scan correspondence

9. Prepare weekly list of outstanding correspondences

Generate weekly and monthly reports.

ADDITIONAL COMMENTS/
SPECIAL CHALLENGES:

- Very good language skills Arabic/English.
Knowledge of publication formats applicable in the project .

Essential Skills / Qualifications:
EXPERIENCE and QUALIFICATIONS REQUIRED:

- Minimum 3-4 years of experience in Administration / Any equivalent experience and/or education from which comparable knowledge, skills and abilities have been achieved.
- Experience in managing critical documents, technical documents
- He/she must be a good team player.
- Handling work complexity and problem solver.
- Strong computer Literacy and working Knowledge of MS standard applications.
- Able to work flexible hours.

Key characteristics:
Native Arabic & English languages (Excellent spoken/written is a MUST)
Customer focused, self motivated, fast mover who delivers on promise.

Prior knowledge/experience in IT functions would be an advantage.

EXPERIENCE WORKING WITH AN O&G OPERATOR WILL BE HIGHLY ADVANTAGEOUS
