The Company:
Our client a UK based refining and marketing company, have interests in a number of facilities in the United Kingdom, employing around 1000 people throughout the UK and over 33000 worldwide. They have had their presence on Teesside for over 30 years, processing and storing crude oil ready for shipment along with being an established supplier of bulk fuels, including LPG, to the commercial, aviation and marine industries.

The Role:
Management Support
a. Develop Organise / assist with travel arrangements for the Management Team
b. Submit expense claims for the General Manager
c. Arrange and co-ordinate on and offsite meetings for the Management Team e.g. Board meeting, Strategy days

Business Administration
a. Identify and track mandatory training through the utilisation of the competency tracker and yearly training plan
b. Assist with the monthly payroll submission.
c. Organise and manage the booking of external courses and those held at the Wynyard office.
d. Update and maintain the Teesside Homepage and Digital Media Players
e. Maintain HR, Training & Management diaries & holiday/sickness planner
f. Validate yearly driving licence checks
g. Maintain core contractor files
h. Creating reservations / requisition Orders and approving service entries ready for invoice approval.
i. Organise the distribution of service awards
j. Provide Competency Assurance KPIs and statistics as required
k. Perform general administration duties to include but not limited to: photocopying, faxing, mailing and filing for HR, Training and Management Team needs.
l. Organise video/teleconference and meeting room requirements when requested
m. Support and cover the HR & Health Services Coordinator and Competency Assurance & Facilities Coordinator

Facilities
a. Meet and greet visitors in a courteous and timely manner, ensure hosts are aware their visitor has arrived, explain visitor registration and controlled access system (record sheets / access card). Explain building Fire Alarm sound, indicate Exit Doors, Muster Point, toilet and drink facilities
b. Create and manage access badge control for Wynyard
c. Maintain the office supply requirements ensuring a recording system of users and materials is implemented
d. Manage the catering facility for Wynyard (lunch orders / buffet orders / contractor payment collection and recording)
e. Sort both internal and external post to recipients work location
f. Point of contact to report / solve facilities issues e.g. catering / drinks machines, photocopiers, building access etc
