The Role:
Competencies : -
Electronic Diary Management –

Ensure the Manager’s diary is completely up to date using initiative to prioritise conflicting meetings and re-schedule where necessary.
Ensure Manager is prepared for meetings by preparing pre-reading and supporting paperwork.

Email –

Assist Manager by replying to meeting requests on his behalf ensuring the electronic diary is current, action emails where possible or delegate where appropriate especially when Manager is out of the office or at meetings.
Arranging teleconferences and videoconferences.

Meetings –

Arrange Leadership meetings, external meetings, Business Breakfasts, F2F Leadership Engagements, and Leadership Team social events ensuring colleagues are kept informed of any changes.

Travel Arrangements –

Book all travel arrangements on Manager’s behalf.
Arrangement of Asset Development Leader’s Offshore travel for the year, liaising with logistics/planners.
Arrangement of VIP visits offshore.
Co-ordinator for the Asset Development Team and Leadership Areas in Livelink/Sharepoint.
Focal point for Office moves within the Assets and coordination with the DE Managers BS.
Focal point for the dissemination of information to the Asset.
Develop close working relations and networks with other PA’s within the UK&I organisation and beyond.

Expense Claims –

Prepare expense claims in GCC.
Reconcile expenses against credit card in GCC system.

External Interface –

Act as first point of contact for external clients.
Ensure the reputation of the UK&I organisation is maintained through a professional friendly, approachable and helpful manner.
Organise visitor access to Company.
Keep abreast of current departmental issues and be aware of business trends and developments within UOI.
General business support.
Scheduling and co-ordinating operating committee meetings with co-venturers.
Preparation of external correspondence and presentations.
Preparation of monthly reports for co-venturers.
Preparation of minutes from operating committee meetings.
Liaison with DE managers BS to ensure there is consitency in messaging and services accross Development Engineering within the Aberdeen community
