The Role:
MAIN GOALS AND OBJECTIVES

To be a key member of the CEO Office. This role is responsible for providing a fully flexible, efficient administrative support service to the CEO Office in daily activities and ensuring office activities are in line with Company and departmental objectives/ agreed timings. The Team Assistant to the CEO Office should work closely with Board Member PAs and First Line Managers and also should liaise with Group Board PAs and Executive Assistants. In addition, is required to act at times as PA to the CEO (as required). This function demands the acting as a role model and ambassador for the CEO Officer.

MAIN RESPONSIBILITIES

General Administrative Duties

- Read, route, prioritise incoming mail/ telephone calls and handle incoming correspondence including sensitive handling of customer matters.
- Liaise with chauffeurs/ housekeeper to ensure smooth processes for the CEO.
- Assist visitors to department including arranging transport and hospitality.
- Handle/ delegate routine matters (verbal and written) independently.
- Administer and prepare for approval Workflow requests within the function.
- Ordering and managing stationary requirements for the department.
- Office equipment maintenance, bookings and re - ordering.
- Establish and maintain an accurate, comprehensive and accessible filing system.
- Ensure confidentiality of personnel matters, corporate, product and projects.
- Flexibility for any departmental administrative cover as required.
- Supporting & contributing to departmental continuous improvement activities.
- Other ad- hoc duties where appropriate - including at times acting as PA to the CEO.

Documentation and Distribution

- Draft letters/ memos/ documents for signature (both in English and German) ensuring timely distribution.
- Ensure processing, issuing and timely availability of documentation needed for Board/ Ops meetings including draft agendas and follow - up of open actions.
- Translation of newspaper articles, letters/ emails (German/ English).
- Preparation of documentation/ information as required.

Diary Management

- Diary Management of CEO and the Secretary General in liaison with PA to the CEO.
- Arrange Board/ Ops meetings including coordination of hospitality.
- Arrange Guest diary for events.
- Arrange availability of CEO office vehicles.
- Meeting room bookings.
- Assist in daily function and efficient running of department/ office.

Coordination of Travel and Events

- Arrange national/ international travel as required.
- Coordinating support services for key events such as Board Strategy Events, VIP visits etc.
- Liaison with company travel providers.
- Processing of travel expenses and purchase orders.

SKILLS AND EXPERIENCE

- Previous experience of working at a Board/ Director Level.
- Good organisational skills and the ability to prioritise work flow, demonstrable flexibility when handling multiple tasks.
- Demonstrable ability to work well under pressure in a fast paced environment.
- Demonstrable administrative experience, ability to work independently and proactively.
- Demonstrable experience of communication effectively at all levels both internal and external.
- Represent CEO Office professionally in all activities.
- Self- motivated and flexible with good attention to detail.
- Proven track record in building relationships with everyone in organisation and networking within organisation and Group.
- Working knowledge of SAP desirable.
- Behaviours in line with People Framework.

QUALIFICATIONS

- Relevant business qualification
- Competent in Microsoft Office Outlook, Word, Excel, PowerPoint
- Fluent German language. Verbal and written absolutely essential.
