Job Title: Chief Correspondence Clerk
Job Location: Dubai Emirate
Duration: 6 months
Residency: non rotational

The Company:
International Operator

The Role:
Manage and execute End-2-End correspondence workflow for all official incoming and outgoing correspondence as per Majnoon Correspondence, control procedures and communication protocol guidelines.
Key interfaces include a multitude of suppliers of information, including SOC, Ministry of Oil, Co-ventures and Majnoon leadership team
Accountabilities:
1. Own the Majnoon correspondence management process and execute all required activities to ensure proper correspondence handing through all the stages of correspondence development, signoff, issue, distribution, receipt, tracking and filing.
2. Work closely with GM office, commercial and Majnoon leadership team (MLT) to collect and maintain all correspondence along with distribution list, timelines, requirements, etc.
3. Arrange translation of all correspondence (English/Arabic).
4. Liaison with Majnoon Document controllers to register and upload all correspondence in Assai.
5. Issue correspondence numbers, label, format, and scan correspondence.
6. Distribute correspondence as per distribution list.
7. Obtain all required comments, approvals and signoffs.
8. File all correspondence electronic/hardcopies following the correct procedures.
9. Maintain a tracking sheet for every incoming and outgoing official correspondence.
10. Perform quality checks on regular basis to ensure correspondence is being handled according to Majnoon correspondence protocol and control procedure.
11. Ensure correspondence meet Majnoon project standards and are produced within the required timeframe.
12. Initiate, maintain and promote improvements to official correspondence processes and system.
13. Generate frequent reports on correspondence management required by auditors and LT.

Essential Skills / Qualifications:
 In depth knowledge of Information Management correspondence workflow, documents procedures and communication protocols guidelines. Preference to have previous experience in Capital projects
 Excellent people and change management skills to effectively handle complex interface with various stakeholders, senior leaders in the organization
 Strong Knowledge of commonly used document repository and control tools (applicable to engineering and major projects. (Assai and Livelink experience is an asset). Strong computer Literacy and working Knowledge of MS standard applications.
 Awareness of engineering process and interfaces with LT, governmental bodies and co-ventures.

Native Arabic & English languages (spoken/written is a MUST)
