The Company:
Is a leading Automotive manufacturer with a reputation for outstanding quality the world over. With demand increasing and an upturn in production, there is a need to bring further skills into the business to deliver on current and future projects.

The Role:
The job holder is the operational interface with the Private Medical Healthcare (PMI), Stationary and Catering contracts and is responsible for the coordination and provision of management information to Finance at a functional level to enable effective financial management.

The job holder is responsible for ensuring the quality and consistency of Colleague Service communications to maximise colleague engagement and satisfaction.

The role acts as an enabler of the effective use of the Colleague Services Team interaction time and provides support to the Head of Colleague Services in one - off activities/ projects.

The job holder is also responsible for the Company Prize Draw and Colleague Noticeboard processes and systems.


SCOPE OF ROLE

1. Contract activities

- Accountable for maintaining the PMI medical list.
- Responsible for the 'control' and operational management of the company stationary contract - adapting and communicating authorisations across all functions.
- Interface for the catering contract. Problem solving any day to day issues.
- This role is 'first filter' of Colleague Services.
- Responsible for the implementation of a discount scheme for all colleagues.

2. Finance

- Responsible for the creation and provision of Management Information to the central Finance team at a functional level, for the Colleague Service contracts, to enable effective financial management.
- Responsible for raising purchase orders and the preliminary approval of invoices for various service contracts.
- Responsible for analysing spending patterns and reducing cost through effective communication of facts.

3. Communication

- Responsible for the development and delivery of an effective and intuitive communication strategy for the Colleague Services using a number of dynamic internal communication channels.
- Develop colleague surveys for organising distribution and analysing feedback. Ultimately understanding the value of Colleague Services proposition and establishing the 'Voice of the Customer'.

4. Project Management

- Support the Head of Colleague Services with one - off projects as assigned.
- Take defined projects and deliver/ define the scope.
- Engaging and identifying with the stakeholders and adapting priorities to suit current demand.
- Facilitate meetings and communicate and follow up with any actions.

5. Administration

- Responsible for the Colleague Noticeboard system.
- Responsible for the Colleague Prize Draw system ensuring that the rules are adhered to and that distribution of the funds meets with legislation.
- Organise and chair contract review meetings with Colleague Services contract providers.
- Maintain access to all diaries and then organise Colleague Services Direct Reports meetings communication any actions.
- Responsible for the recording of Colleague Service Direct Reports holidays.
- Provide flexible support to the Head of Colleague Services.
- Responsible for creating and updating a Colleague Service control board.


SKILLS AND EXPERIENCE

- Excellent customer service skills.
- Proven organisational skills.
- An ability to communicate effectively at all levels across the business.
- Fully conversant with Microsoft Office and email with a high level of accuracy.
- Experience of working as an administrator.
- Ability to organise own workload and work as part of a team.
- Able to chair and facilitate effective meetings,
- Ability to organise a team.
- Ability to deal with conflict.
- Project management knowledge advantageous.


PRACTICAL AND TECHNICAL KNOWLEDGE

- Knowledge of SharePoint and ownership of editorial rights to update the system.
- Working knowledge of Workflow, SAP, Project Management and Survey Systems.
- The ability to design and construct surveys.


QUALIFICATIONS

- GCSE's in Maths and English
- Competent at intermediate level Microsoft Office Outlook, Word, Excel and PowerPoint.
