The Company:
The biggest Petrochemical complex in Europe

The Role:
To receive from Contractor the “Ready for Commissioning Certificates” (RFC),” Achivement of Commissioning Certificates” (AOC) as well as the “Transfer to Operation and Maintenance Certificates ( TOMC) and distribute to Company reviewers and approvers to get the approval of them and give back to the Contractor.
Provide a report to Company members with the status of all RFC, AOC and TOMC certificates. The report should include all the certificates, with the status of signed or not and the list of pleope responsible to review and/or sign as well as any issue that prevent the signature of the certificate.
Handle with Contractor any comment regarding documentation that prevent the signature of any certificate in order to solve the issue and get the signature as soon as possible.

Integrated in Commissioning team under clients management.
Multiple daily contacts with all Project stakeholders: Company, Contractor, Refinery, central departments, DCC.
Dealing with a very high number of documents and signatures (several hundreds or thousands).
Need to understand the basis of the OPERCOM methodology, and have the adequate drive to chase the very high number of signatures on the Certificates in due time and with the adequate interpersonal skills to avoid excessive numbers of reminders.

To ensure that all Certificates received from Contractor have all the documentation according to the index.
To ensure Certificates be reviewed and/or signed by each and all members as per Responsibility matrix without delay.
To handle with the Contractor any comment from Company team member that prevent the signature of the certificate in order to solve the issue and continue with the signature process.
To provide Company team with a daily status of all Certificates.
To provide Contractor the Certificates signed by Company.
To prepare and maintain a Document Control Procedure for the approval of the Certificates (RFC, AOC and TOMC).

Essential Skills / Qualifications:
Associate degree in office administration, or minimum 5 years in project-related administrative assistant roles in electronic environment.
Proven Document Control experience (5 years)
Documentation Quality Assurance-related experience in industrial projects (O&G preferred).
Excellent relationship and interpersonal skills, drive and ability to work with others in collaborative manner, assertive and non-confrontational behaviour. Being able to get signatures quickly and without repeated reminders to stakeholders.
Above average proficiency with Microsoft Office software suite, especially Excel, and some knowledge of databases and/or document control systems.
Ability to manage very important amounts of documents in paper and electronic.
Ability to efficiently manage multiple tasks and priorities simultaneously and ability to manage changing priorities
Experience with projects (structure and procedures)
Dutch speaking is Mandatory
