The Company:
Our client is a leading global oil and gas operating company.

The Role:
SCOPE:

•This is a skilled technical administrative position Working a rotational North Slope Schedule and reporting directly to the North Slope Construction Superintendent. This position is the primary focal point for administrative duties within a large project construction department. The position encompasses man power scheduling, billeting, and other administrative duties. Produce weekly manpower and statistical reports. Assist the Company Project Team with duties as assigned.

1. Direct Accountability – fully accountable for the output
HSE
•Perform jobsite walk-downs during jobsite visits.
•Participate in Contractor toolbox and weekly safety meetings when on site.
•Review Contractor Task Hazard Analysis (THA)/Job Safety Analysis (JSA)/Job Hazard Analysis during jobsite visits.
•Perform safe performance recognitions during jobsite visits.
•Input pro-active measures information into the Company PMT Participation database.
•Coordinate with the Fabricator the development and implementation of “Safe Visitor Protection Program” to ensure the safety of Company visitors at the fabrication location.
•Perform Behavior Based Safety observations.

Training
•Ensure all compliance training is complete and up to date.
•Become a trained observer and support the Company Behavior Based Safety (BBS) processes (WINGS, BEAR, and/or HAWKS).

Data Retention and Management
•Ensure all files, information; e-mail, etc. are in compliance with Company Policy regarding records retention.

Closeout/Lessons Learned
•Capture Lessons Learned during project execution

General Duties
•Maintain Company Project Construction Contact List(s)
•Capture, distribute, and maintain Project Meeting minutes when requested
•Maintain Project Construction Staff rotation schedule (Rainbow Schedule)
•Assist with making flight and billeting reservations for Project Team Members
•Manage Project Recognition inventory
•Maintain Project “PMT Participation” database
•Support Superintendents and Supervisors with spreadsheets and word documents
•Assist with organizing and set up of meetings and work shops
•Assist with placing I.T. Tickets and requests
•Perform daily tasks as assigned to support the Company Project.

2. Indirect Accountability – affects the decisions of others
HSE
•Safety Leadership – Commitment to an incident free workplace is paramount. Demonstrated safety leadership shall be initiated through attendance and participation.
•Advocating the Company Zero Incident Culture (ZIC)
•Advocating the Company Incident Free Culture (IFC)
•Weekly safety meetings

Responsibilities

•Customer service and attention to detail is of the essence as you will interface and communicate with various companies and organizations, both in person and via telephone.

Proficient verbal and written communication skills.
High level of Microsoft Office experience and proficiency.
Attention to details.

Essential Skills / Qualifications:
•High School Diploma or equivalent
•Valid Alaska Driver’s License.
•Legally authorized to work in the United States on a regular full-time basis without restrictions.
•Minimum of 7 years of administrative experience - record keeping, filing, answering phones, computer work, general accounting duties.

Strong computer experience and knowledge of Microsoft Office applications. Proficiency in databases a must Access, Word, Excel, Outlook, to include producing, proofing and analyzing reports. Ability to learn and adapt to various computer programs is essential.

Initiate and follow through to completion on a variety of projects.

Strong interpersonal and communications skills a must.

High level of integrity and the ability to maintain confidentiality

Desirable Skills / Qualifications:
•Bachelor Degree.
•Prior Alaska North Slope /Alaska Oil & Gas or Construction experience
•Advanced computer skills and proficiency in construction and business management software such as SAP, JDE, Microsoft Project, and Primavera.
•Strong demonstrated leadership, communication, public speaking, ability to influence, and organizational skills.
