The Role:
This is a staff role working on a 28/28 rotation Tengiz - Reporting to the Transport Manager he will be responsible for managing the document control and management processes and systems for the Transport Department.


Responsibilities:

• Develop, & maintain department’s documents in a systematic manner such as Document Database information, Library of documentations, document management system, Transport Department’s Material Requisition Procedures & filing systems, Audit Report tracking & distribution system, Transport Department Plan for Preventive Maintenance filing systems, various template forms, Work authorization creation.
• Fully conversant in Vehicle, Equipment & Machinery technical specifications
• Knowledgeable in all aspects of Vehicle Maintenance and Repairs
• Extensive Quality Assurance and Control Management skills
• Experienced in Fuel Management and Budgetary Control
• Maintenance Strategies and Cost Analysis throughout the broad spectrum of construction equipment, commercial trucks, buses and light duty vehicles
• Planned Preventative Maintenance design
• Possess excellent IT skills (Particularly Spread Sheets)
• Assist the Transport Department personnel in sourcing information such as technical documents and supplier quotations.
• Develop, implement and maintain filing system for the all documents.
• Develop a tracking and distribution system for all Audit Reports received from Transportation stakeholders.
• Post, update and maintain all Transport on-going works including Audit Report action plans.
• Streamline and organize electronically all Transport Department Plans, including Preventive Maintenance filing systems.
• Develop and implement various Transport Department templates.
• Register and prepare Work Authorization Contracts.
• Working with spreadsheets, typing texts, using copier and fax machine.
• Filing.
• Distributing reports and documents.
• Copying documentation.
• To maintain the Transport Department data base and to act as a central unit responsible for MR
• Organize all required documents for both permanent and temporary accesses to TCO facilities for vehicles and people
• Perform other duties instructed by department manager or supervisors

Essential Skills / Qualifications:
• Higher National Diploma or Degree in Engineering, Configuration management, or equivalent related subject
• background in Motor Vehicle Workshop or Fleet manager is a must
• Computer literate in Microsoft Word, Excel, Access Database, PowerPoint, Visio, CAD, MS Project, and DataStream 7i applications
• At least 4 years experience in document control on a large project
• Excellent oral and written knowledge in English
• Ability to analyse and process information in a logical and efficient manner
• Ability to understand basic Database structures and setup
• Ability to understand the general Maintenance work flow processes
