Contracts and Procurement Administration Assistant

The Role:
We are looking for an experienced Administration Assistant to assist Darwin Supply Chain with the organization of the day to day administration and operation activities, reporting requirements and act as focal point for document records management.

Responsibilities will include but not be limited to:
* Daily collection and distribution of incoming and outgoing mail
* Maintaining electronic diary of appointments for the Manager, Logistics and Material Management
* Record leave in the Supply Chain leave register
* Arrange and organise security access with and desks for visitors
* Typing of correspondence, ensure daily correspondence is registered and filed correctly
* Coordinate business travel and accommodation requirements for both international and domestic travel for Supply Chain, ensuring all preferred airlines and hotels are utilized in accordance with our Travel Policy
* Reconcile statements from travel agent and ensure all details are correct
* Provide systems supports on a daily basis
* Provide final version of contract/ variation to vendor, track to ensure receipt and white paper to file
* Logging and filing of all contracts related documents, archiving contracts
* Assist with audit preparation reconciliation of contracts and files both electronic and white paper
* Update all mandatory data in Supply Chain systems
* Ensure DRM compliance
* Relief/assistance to Darwin Administration Team and Supply Chain Contracts Administration as required
* Assist Travel Team with travel bookings for crew changes as required
* Assist Material Coordinators with disposal of warehouse inventory by maintaining data and communicating with suppliers and internal stakeholders as required

Essential Skills / Qualifications:
* Previous exposure to Supply Chain activities (Procurement and Contracts, Logistics and Material Handling) and SAP Business System will be beneficial.
* Excellent skills in and proven knowledge of Microsoft Office Suite including Excel and Word
* Demonstrated experience in all administrative tasks
* Experience managing calendars, appointments and room bookings, including the set-up of rooms for meetings.
* Education to Year 12 or equivalent
* Secretarial/Administrative tertiary qualifications is preferred
* Interpersonal skills; good written and verbal communication
* Ability to work under pressure
* Commercial acumen
* Demonstrated experience in all administrative tasks
* Excellent knowledge of Microsoft Office suite

Desirable Skills / Qualifications:
* Ability to demonstrate diplomacy, discretion and professionalism
* Capable of independent thought and action
* Skills in prioritising workload
